We deliver acute hospital, primary, community and mental health services to a population of over 1.15 million people, and to a wider population of 2.2 million when regional and national services are included.

The Role

We are seeking 2 motivated and enthusiastic individuals to join Glasgow City’s Quit Your Way teams as Business Support Assistants. These roles are essential in providing efficient and effective administrative support to ensure smooth day‑to‑day operations within the department with the overall aim of improving health and reducing health inequalities in line with the HSCP strategic plan and other locally and nationally identified priorities.

The successful candidates will work within the HSCP and with key partner agencies to contribute to the development and implementation plans predominantly within smoking prevention and smoking cessation.

Successful candidates will be required to have strong organisational skills, excellent communication skills, proficiency in Microsoft office applications (Teams, Word, Excel, Outlook, etc.) and the ability to work independently and as part of a team. A qualification in Office Administration/Secretarial Services such as an HNC in Business Administration or relevant office experience is required. Key tasks will include data entry, directing enquiries, scheduling and coordinating meetings, minute‑taking, maintaining database/spreadsheet records, and providing generalised administrative support.

The Glasgow City QYW service has recently undergone a service review and is currently in the implementation phase of this. These posts will initially be hosted within Pollok Health Centre and Parkhead hub with the potential to provide city‑wide administrative support.

These posts will primarily focus on smoking prevention and smoking cessation. All team members are also required to deliver on and support programmes of work across the wider Health Improvement team.

Interviews have been arranged for Wednesday 18 March 2026 and will involve a practical exercise.

Duration, Location, and Working Pattern

Permanent, 1 x 1 WTE, 1 x 0.6 WTE

Shift Pattern – 1 WTE Mon‑Fri 9‑5, 0.6 WTE TBC

1 WTE – Pollok Health Centre, 0.6 WTE – Parkhead Health Centre

Key Responsibilities
  • General typing duties including transcription of letters and minutes of meetings, photocopying as required e.g. patient/client information
  • Ensure all telephone enquiries/electronic mail including queries from the general public and members of staff are handled expeditiously
  • Maintain an effective messaging system, including text messaging, so that telephone calls are logged and responded to within identified standards
  • Assist in reaching clients by telephone on behalf of the Quit Your Way Services
  • Maintain accurate, effective and accessible filing systems (paper and electronic)
  • Maintain relevant databases
  • Arrange meetings and assist in the preparation of agendas and type minutes
  • Attend team meetings, taking minutes if required
  • Ensure team members electronic diaries are maintained and relevant meeting invites scheduled
  • Prepare patient/client educational materials, patient/client packs
  • Communicate with NHS employees and external partners
  • Prepare publicity materials, fliers and briefing notes
  • Be responsible for the maintenance and ordering of stationery, office supplies, service resources and health education materials
  • Ensure service referrals are uptaken by relevant staff/referred onto appropriate follow‑up team
  • Maintain service housekeeping and monthly activity reports
  • Maintain relevant personnel systems where appropriate
  • Maintain confidentiality of client data at all times and be aware of the requirements of the Data Protection Act 1984 and Data Protection Directive 1995
  • Any other general secretarial and clerical duties commensurate with the grade of the post, as requested by the Health Improvement Senior and where appropriate by Health
