The role: Senior Business Support Assistant within the NHSGGC Specialist Children’s Services central management team.

Specialist Children’s Services (SCS) provides clinical services for children and young people who have severe, enduring and complex mental health, disability and neurodevelopmental profiles. SCS is hosted by East Dunbartonshire HSCP and is responsible for the provision of Specialist Paediatric Services (SCPT), Child and Adolescent Mental Health Services (CAMHS) and Specialist Hosted Services across Greater Glasgow and Clyde.

In this role you will support the senior management team by providing a comprehensive administrative and secretarial service that enables smooth day‑to‑day operations. The post‑holder will manage complex diaries, arrange and prioritise meetings, prepare high‑quality correspondence, reports and presentations, take minutes at meetings and ensure accurate filing and data management. You will also support a range of administrative processes, including HR systems, payroll, recruitment activity and performance reporting.

  • Provide a comprehensive administrative and secretarial service to senior management, ensuring smooth day‑to‑day operations
  • Act as a key communication link between internal teams, senior leaders and external stakeholders, handling enquiries professionally
  • Manage complex diaries, arranging and prioritising meetings and appointments efficiently
  • Prepare high‑quality correspondence, reports, presentations and meeting documentation
  • Organise and attend meetings, including minute‑taking and timely distribution of notes and actions
  • Maintain accurate filing systems and manage data, ensuring confidentiality and compliance with policies
  • Support a range of administrative processes, including HR systems, payroll systems, recruitment activity and performance reporting
Knowledge, training, qualifications and/or experience required to do the job
  • HNC or SVQ3 in Secretarial Studies, Business Administration, or equivalent experience
  • Proficient in Microsoft Office 365 applications, including Word, Excel, PowerPoint and Outlook
  • Excellent organisational skills with the ability to prioritise and manage a busy and varied workload
  • Strong communication skills with the ability to engage confidently with a wide range of stakeholders
  • Experience of diary management, minute‑taking and producing high‑quality documents and reports
  • Ability to work independently using initiative while also contributing effectively as part of a team
  • High level of professionalism with the ability to maintain confidentiality and work under pressure
