Business Support and Administration Modern Apprentice (832924)

Salary: £24,457 per annum

FTE: 1.0 (35 hours per week)

Term: Fixed (24 months)

This opportunity is ideal for someone at an early stage in their career who wants to develop administrative and digital skills while gaining practical experience in a professional environment. You will learn on the job, use a range of systems and business tools, and work towards recognised qualifications through the Business Support and Administration Modern Apprenticeship. About

the role

Working as part of a busy team, you will follow established procedures and receive guidance and supervision from senior colleagues. Your work will include responding to enquiries, maintaining accurate records, supporting customer requests and assisting with routine financial, organisational and coordination activities. You will use Fresh Service, SharePoint, Microsoft Office and other University business tools. You will gain experience in customer and service desk support;

finance and purchasing; asset, print and records management; ICDL administration; staff and visitor access; vehicle administration; meeting, travel and event coordination; and general administration and reporting.

About the team

Business Support and Administration supports activities across Information Services, including human resources, finance and procurement, safety, health and wellbeing, security and facilities management. The team works across the University and with external partners to provide a high-quality, customer-focused service through clear, digitally enabled processes.

Key responsibilities
  • Respond professionally to enquiries and direct them appropriately;
  • Review and update Fresh Service tickets and help progress requests in line with team procedures and timescales;
  • Maintain accurate service desk, asset, access, print, vehicle and administrative records;
  • Assist with requisitions, orders, goods receipting, invoices, payment requests and supplier records;
  • Support meeting room, catering, travel, accommodation and conference arrangements;
  • Update SharePoint lists, document libraries, webpages and supporting information;
  • Assist with ICDL enquiries, records, test invigilation, social media content and website updates;
  • Maintain expenditure, refund and billing records and collate information for reporting;
  • Take part in team meetings, training and development activities;
  • Support procedural documentation and team records; and
  • Undertake other duties appropriate to the grade and content of the post.

You will complete the International Certification of Digital Literacy qualification, if you do not already hold it, and the Modern Apprenticeship qualification associated with the post. All duties will be carried out under close supervision, with decisions and outcomes retained by senior team members.

About you

You should have four National 5 qualifications, or equivalent, at grade C or above, including English, Maths and a relevant administration or IT subject.

Essential skills
  • Interest in administration;
  • Good organisational skills and the ability to prioritise tasks with support;
  • Good verbal and written communication skills;
  • Basic IT skills, including email, Word and Excel;
  • Attention to detail and the ability to work accurately;
  • The ability to follow instructions and work effectively as part of a team; and
  • A willingness to learn, ask for support and develop confidence using new digital systems.
Desirable experience

Experience of administrative, organisational, customer-facing or team-based activities gained through school, volunteering or part-time work would be beneficial. Experience using Microsoft Office, SharePoint or similar systems, updating websites or social media, or working in Higher Education would also be advantageous.
