Hours: 20 hours per week
Salary: £13,572 per annum
Contract: Fixed-term until 31 March 2027, with the potential to become permanent subject to contract extension or retention.
UKIM Occupational Health & Wellbeing Ltd is seeking a motivated and organised Administrator / Receptionist to join our professional Occupational Health & Wellbeing team.
This is an exciting opportunity for an individual with excellent administrative and customer service skills who enjoys working in a fast-paced environment. As the first point of contact for our clients, healthcare professionals, and visitors, you will play a key role in supporting the smooth day-to-day running of our occupational health services.
Key Responsibilities- Managing reception duties and responding to enquiries in a professional and welcoming manner.
- Answering telephone calls and responding to emails.
- Organising appointments and maintaining clinical diaries.
- Preparing clinic lists and managing correspondence.
- Coordinating referrals relating to sickness absence and fitness-for-work assessments.
- Liaising with clients, staff, hospitals and GP surgeries.
- Maintaining confidential medical and occupational health records in accordance with GDPR and relevant legislation.
- Typing reports, letters, memos and other occupational health documentation.
- Filing, archiving and maintaining accurate database systems.
- Supporting compliance by maintaining records relating to COSHH and statutory Health & Safety requirements.
- Assisting with the safe keeping of medicines.
- Providing general administrative support as required by the Occupational Health team.
The successful candidate will have:
- Previous administration and/or reception experience.
- Excellent organisational and time management skills.
- Strong communication and interpersonal skills.
- Good IT skills, including Microsoft Office applications.
- A professional and confidential approach to handling sensitive information.
- The ability to prioritise workload and work independently.
- A friendly, flexible and positive attitude.
Experience with in a healthcare or occupational health setting would be advantageous but is not essential.
