The role:

An exciting opportunity has arisen to join NHS Greater Glasgow and Clyde as a Band 3 OPLA Support Secretary within the Plastic Surgery & Burns Service at Glasgow Royal Infirmary. This is a key administrative role supporting the safe, effective delivery of outpatient local anaesthetic procedures, working closely with clinical and administrative teams. You will play a vital role in coordinating patient pathways, ensuring timely access to care and a positive patient experience.

Key responsibilities:

  • Book OPLA procedures and coordinate patient appointments in line with clinical priority and waiting time targets
  • Manage and maintain waiting lists, including validation, updates and TCI processes, to maximise theatre utilisation
  • Communicate with patients via telephone, email, letter and SMS, ensuring all outcomes are accurately recorded on Trak Care
  • Book procedures on OPERA and ensure all associated admission documentation and patient pathways are completed
  • Support diary management to ensure theatre lists are planned and escalate capacity issues where required
  • Liaise effectively with clinical teams, administrative colleagues and external contacts to support efficient service delivery
  • Maintain accurate patient records, ensuring confidentiality and compliance with relevant policies and procedures

Knowledge, training, qualifications and/or experience required to do the job:

  • HNC or SVQ Level III in Secretarial Studies, Business Administration or equivalent experience in a relevant role
  • Proven administrative experience, ideally within a healthcare or surgical booking environment
  • Proficient in Microsoft Office packages, including Outlook, Word, Excel and Teams
  • Experience or working knowledge of NHS systems such as Trak Care, OPERA or similar patient management systems
  • Excellent organisational skills with the ability to prioritise workload and meet competing demands
  • Strong communication and interpersonal skills with the ability to handle sensitive information with tact and confidentiality
  • Accurate keyboard and data entry skills with strong attention to detail and ability to work independently or as part of a team
