Job Purpose
The Support Administrator role will assist the Academic and Digital Development Adviser with planning and co-ordinating their diary, monitoring and supporting communications and collating actions from monitored communications. The postholder will provide ongoing, specific and assistive support to the Academic and Digital Development Adviser, who has a disability, to enable them to undertake the key preparation and diary management administrative activities of this Adviser role.
The Support Administrator will also assist with processing and submission of Access to Work claims.
Assist the Academic and Digital Development Adviser, as part of the Academic and Digital Development (ADD) team, in planning and prioritising work activities and support the Adviser with responding to conflicting demands. This will involve reviewing emails, suggesting action points, attending approximately weekly meetings, occasionally liaising with the Advisor’s line manager and collaboratively reviewing their current and upcoming workload, work streams, and obligations.
Set short term priorities or work schedules, assigning straightforward and routine tasks to others, to ensure operational efficiency. Collaborate and advise on the administrative and organisational aspects of the Academic and Digital Development Adviser’s workload. This will include diary and time management, setting reminders to optimise workflow and utilising knowledge of the appropriate departments and service relevant to ADD operations.
Resolve administrative issues, e.g, diary conflicts, applying sound judgement based on experience, largely without reference to others to provide an effective service and clear advice to colleagues and customers.
Deliver a range of administrative and/or customer service activities to maximise service quality and continuity including sending follow-up communications email on behalf of the Academic and Digital Development Adviser or preparing straightforward analysis, manipulation and interpretation of data.
May include limited supervisory responsibility. Some tasks will require the same skills and responsibilities as limited supervision. For example, monitoring task progress and advising on organisation and workload.
A1 Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role.
A2 Detailed knowledge of relevant systems such as Microsoft Office and Outlook, equipment, processes and procedures including software packages.
A3 Understanding of relevant policies and procedures relative to the role, and the quality standards and outputs required.
Desirable:B1 Knowledge of ADD services and procedures relevant to ADD operations.
Skills Essential:C1 Effective planning, organising and prioritising.
C2 Ability to plan or schedule work days and weeks ahead, and to respond to changing pressures or requirements.
C3 Good level of IT competence including familiarity Microsoft Office, and Outlook.
C4 Ability to undertake assigned tasks in a timely manner and to an acceptable standard
C5 Initiative and judgement to resolve problems independently.
C6 Excellent interpersonal skills with the ability to communicate clearly, clarifying requirements, responding to colleagues and customers.
C7 Good attention to detail.
Experience Essential:E1 Experience of diary coordination and diary management using Outlook.
E2 Experience of providing administration support using Microsoft Office.
Desirable:F1 Experience working with neurodiverse colleagues.
Terms and ConditionsSalary will be Grade 3, £24,685 - £25,249 per annum pro rata.
This post is part-time (up to 7 hours per week, working hours will be agreed with the successful candidate), and open ended with funding available for up to the 15th March 2029 in the first instance.
