Legal Administrator / Receptionist
5 days fully onsite
We are seeking a professional and organised Legal Administrator / Receptionist responsible for providing front-of-house support and administrative assistance within a legal practice. Acting as the first point of contact for clients, the role involves managing enquiries, coordinating appointments, maintaining legal files, preparing correspondence, and supporting solicitors and legal staff with day-to-day administrative duties. This position requires excellent communication skills, attention to detail, and the ability to handle sensitive and confidential information in a professional manner.
Key Responsibilities:
- Greeting clients and visitors in a professional and welcoming manner.
- Managing incoming calls, emails, and general enquiries.
- Scheduling appointments, meetings, and diary management.
- Opening, maintaining, and archiving client files.
- Preparing, formatting, and proofreading legal documents and correspondence.
- Audio typing and document production where required.
- Handling incoming and outgoing post.
- Updating case management systems and client databases.
- Processing legal aid documentation and court-related paperwork.
- Liaising with clients, courts, advocates, and other third parties.
- Managing meeting room bookings and office administration.
- Ensuring compliance with confidentiality, GDPR, and legal practice procedures.
- Supporting solicitors and legal teams with general administrative tasks.
Key Skills & Experience:
- Previous experience in a legal administration, legal secretary, or reception role.
- Strong organisational and multitasking abilities.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office and case management systems.
- High level of accuracy and attention to detail.
- Professional, client-focused approach.
- Ability to manage confidential information with discretion.
- Strong time management skills and the ability to prioritise workloads effectively.
