Supporting our Glasgow office and selected operational activities in Manchester.

The opportunity

We're a thriving, ambitious creative media agency with a brilliant team across Glasgow and Manchester. We're looking for an exceptional Operations & Experience Manager to make our agency an outstanding place to work, collaborate and visit.

This varied, hands-on role brings together workplace management, executive support, people experience and day-to-day business administration. You'll take pride in the details, anticipate what people need and make everything run seamlessly behind the scenes.

What you'll do Workplace & office experience
  • Own the day-to-day presentation, organisation and smooth running of our Glasgow office.
  • Keep work spaces, kitchens and meeting rooms welcoming, tidy, well stocked and ready for use; coordinate light day-to-day housekeeping.
  • Welcome staff, clients and visitors, and prepare spaces for meetings, presentations, workshops and events.
  • Manage refreshments, supplies, cleaners, waste collection, maintenance contractors and repairs.
  • Support relevant office arrangements and processes in Manchester.
Executive & board support
  • Coordinate board and leadership diaries, appointments, recurring team meetings and client meetings.
  • Arrange travel, accommodation, hospitality, business events and board away days.
  • Prepare agendas, meeting notes, minutes and follow-up actions as required.
  • Support expenses, receipts, routine financial administration and confidential documentation.
  • Anticipate upcoming commitments and proactively prepare what the leadership team needs.
People & team experience
  • Coordinate onboarding administration, including contract paperwork, payroll information and induction schedules, with relevant colleagues.
  • Arrange laptops, IT equipment, access and office keys so new starters feel welcomed and ready from day one.
  • Organise team events, celebrations, Christmas parties, staff recognition and thoughtful gifts for colleagues or clients.
  • Find practical, thoughtful ways to make the agency an enjoyable place to work.
Business operations
  • Coordinate suppliers, office services, purchasing and administrative records.
  • Keep recurring processes, meetings and operational deadlines organised across the business.
  • Spot inefficiencies, solve day-to-day problems and introduce sensible improvements without waiting to be asked.
About you

You are exceptionally organised, warm, resourceful and genuinely service-minded. You enjoy supporting others, bring energy and discretion to your work, and take ownership of tasks large and small. You naturally look ahead rather than waiting for instructions.

  • Experience in office management, executive assistance, hospitality, events, operations or a similar coordination role.
  • Excellent diary management, administration, communication and prioritisation skills.
  • Confidence working with senior leaders, clients, suppliers and colleagues.
  • Comfort with Microsoft Office, Outlook and workplace collaboration tools.
  • A hands-on, solutions-focused attitude and meticulous attention to detail.

Experience in a creative agency or growing business is welcome but not essential. Attitude, initiative and personality matter just as much as your previous job title.

What success looks like

Our office is consistently welcoming and beautifully maintained; visitors feel genuinely looked after; our leadership team is well supported; meetings, events and travel run smoothly; new starters have a brilliant introduction; and colleagues feel proud of their working environment.

Why ALT?

Join a collaborative, ambitious creative media agency where you can take genuine ownership, bring ideas to life and make a visible difference to the experience of everyone who works with us.

Full-time, Monday to Friday, based in our Glasgow office. Flexible working hours are available where appropriate. The role also supports selected Manchester office processes.
