The RoleThis role is based at West of Scotland Mobility and Rehabilitation Centre (WestMARC), Queen Elizabeth University Hospital campus. It is within the reception and filing room, greeting all patient and visitors to the building both in person and on the telephone and offering support to a wide range of clinical staff. The role ensures the smooth running of the department including opening and closing at the beginning and end of day.
Working in the filing room you will be responsible for safe storage of patient records, ordering and maintaining stock levels, using alphabetic and numerical systems to organise paper and electronic records. Applicants should be educated to higher standard or have equivalent knowledge and experience and have 5 years’ experience in an administration and or reception environment. You will display excellent communications skills with the ability to interact at all levels both with members of the public, staff and senior management colleagues.
This role does not meet the eligibility criteria for a or a NHS Greater Glasgow and Clyde (NHSGGC) is unable to provide candidates or employees with a Certificate of Sponsorship (CoS).
Duration, Location, and Working Pattern- Location based in West of Scotland Mobility and Rehabilitation Centre (WestMARC), Queen Elizabeth University Hospital campus
- Full‑time position (37 hours per week)
- Permanent Contract
- Shift pattern:
Monday to Friday, 08:30 am - 16:30 pm
- Reception duties: checking in patients and directing them to the appropriate waiting area
- Dealing with Scottish Ambulance Service and notifying control when patient is ready for home
- Reimburse patient expenses
- Accurate filing of all paperwork in chronological order within the relevant case record
- Deceasing and culling of patient case records and arranging their removal to a secondary store using the Iron Mountain database system
- Making up new patient case records
- Pulling files for all clinics held within or outside WESTMARC
- Accurate numerical filing system for wheelchair certificates
- Ordering of stationery
- Administrative qualification such as SVQ level 3 or equivalent relevant experience
- Well developed interpersonal skills; ability to verbally communicate with a wide range of people in a professional manner
- Excellent keyboard skills
- Ability to use initiative when faced with scenarios not dealt with before
- Able to work effectively within a team
- Experience of working in a reception area
- Experience of working within an NHS environment
