Medical Records Team Leader
Nuffield Health Glasgow Hospital | Administration | Permanent | Full Time
Up to £28,101 per annum depending on experience
37.5 hours per week (shifts: between 8am-7pm)

We are seeking a proactive and detail-oriented Medical Records Team Leader to manage the day-to-day management and efficient operation of the Medical Records Department, ensuring the accurate maintenance, storage, retrieval, scanning, archiving, and destruction of patient records in line with organisational policies, data protection regulations, and healthcare standards. The post holder will lead and support the Medical Records team whilst driving continuous improvement initiatives, including the implementation and maintenance of single patient files

Key Responsibilities
  • Lead, motivate, and manage the Medical Records team to ensure the effective delivery of departmental objectives.
  • Monitor team performance, workloads, and service standards, addressing any issues promptly.
  • Assist with recruitment, induction, training, supervision, and development of departmental staff.
  • Promote a culture of continuous improvement, collaboration, and excellent customer service.
  • Conduct regular team meetings and support staff through changes in processes and systems.
  • Ensure all patient records are accurately filed, stored, tracked, and retrieved in a timely manner.
  • Ensure records are maintained in accordance with healthcare regulations, clinical governance requirements, and confidentiality standards.
  • Prepare and maintain departmental reports and performance data as required.
  • Ensure requests for patient information and records are handled promptly and appropriately
  • Ensure compliance with Data Protection legislation, confidentiality requirements, and information governance standards
  • Support and coordinate Subject Access Requests (SARs), ensuring requests are processed accurately, confidentially, and within statutory time frames
Person Specification
  • Proven experience in a supervisory role
  • Ability to prioritise and manage a dynamic workload with shifting priorities
  • Excellent telephone manner and interpersonal skills
  • Strong verbal and written communication skills in English
  • Proficiency in Microsoft Excel, Word, Outlook, and bespoke databases
  • Exceptional attention to detail
  • Understanding of the importance of policies and operating procedures
  • Ability to build positive working relationships at all levels
  • Previous experience within a hospital medical records department is desirable
  • Knowledge of healthcare record retention schedules and secure record destruction processes.
  • Experience of managing departmental audits and quality assurance activities
  • Experience managing departmental change projects.

  • Experience managing or supporting Subject Access Requests (SARs).
  • Knowledge of GDPR, Data Protection legislation, and Information Governance requirements relating to patient records.
