The College of DuPage, a comprehensive community college located 27 miles west of downtown Chicago, invites applications for the Department Administrative Assistant - Research & Analytics (FT) position. The role supports the Associate Vice President for Planning, Performance and Analytics and the Manager of Research and Analytics, ensuring smooth departmental operations.
Primary Duties and Responsibilities- Provide comprehensive administrative support for the Associate Vice President for Planning, Performance, and Analytics and the Manager of Research and Analytics.
- Serve as budget coordinator for the Research & Analytics department: process, monitor, and review invoices, purchase orders, RFPs, contracts; maintain documentation; act as point of contact for purchasing.
- Serve as department receptionist; handle mailings, phone calls, email inbox; route communications to appropriate staff.
- Respond to data requests and route them to staff while tracking requests.
- Act as Department Records Delegate, handling records retention and disposal per State of Illinois Local Records Act and COD policies.
- Plan and execute meetings and events for Associate Vice President, Manager, and department staff: scheduling via Astra, sending invitations, arranging catering, technology, coordinating with other College departments.
- Perform secretarial and office management duties: maintain master office calendar, daily enrollment history, data entry into PC/network databases, office equipment inventory, train staff on equipment operation.
- Maintain, organize, and archive departmental materials, records, and files.
- Other related duties and projects as assigned.
- Education
- High School graduate required.
- Some College preferred;
Associate’s degree in office management/office procedures highly preferred.
- Experience
- Two (2) years of office experience required.
- Proven experience working with highly confidential documents required.
- Proficiency in MS Office (Outlook, Word, Excel, Teams) and willingness to learn new software required.
- Ability to work autonomously and with a team required.
- Office setting; ability to work in an open environment required.
- This position requires a background check and drug screen.
Hourly, starting at $20.14 per hour based on education and experience.
Expected StartJanuary 2026.
