Administrative Assistant, Enrollment Services (FT) – College of Du Page
College of DuPage is a comprehensive community college located 27 miles west of downtown Chicago, preparing students for lifelong learning on a 273‑acre campus with nine associate degrees and a variety of professional and technical certificates.

Primary Duties and Responsibilities- Provide high‑level administrative and operational support to the Executive Director of Admissions, Outreach & Enrollment Services.
- Manage sensitive student and staff issues with discretion and professionalism.
- Serve as liaison to internal and external stakeholders, coordinating meetings and communications across multiple divisions.
- Handle approval delegation for LRF, Concur, and timesheet approvals; act as proxy.
- Prepare high‑level reports on enrollment trends, initiatives, and outcomes.
- Monitor correspondence for potential issues and flag concerns.
- Assist in preparing board meeting material and presentations.
- Schedule and coordinate Strategic Enrollment Management (SEM) Charge Team and task force meetings.
- Coordinate budgets and track financial transactions, purchase requests, and expenditures for Admissions & Outreach, Enrollment Services, International Student Services, and Campus Central.
- Oversee vendor relations and external partner contacts.
- Maintain the Executive Director’s calendar and scheduling priorities.
- Organize and oversee hiring materials and committees.
- Manage paperwork and communications with HR.
- Assist with special projects for the cabinet and president as requested.
- Control inventory supply orders and complete maintenance work orders.
- Coordinate travel arrangements and expense reporting in Concur.
- Lead the preparation of the annual Executive Director’s Report, compiling and analyzing enrollment data.
- Perform other duties as assigned.
- Associate’s degree or equivalent combination of education and experience;
Bachelor’s degree preferred. - Minimum of 2‑3 years of executive‑level administrative assistance experience handling sensitive and confidential information.
- Proficiency with Microsoft Windows, Excel, Outlook, and internet tools.
- Excellent verbal and written communication skills.
- Four or more years of secretarial experience in higher education or a similar office environment.
Salary range: $55,000.00 – $75,000.00 (approximately, based on locality). Compensation is commensurate with experience.
