Position Overview – Project Coordinator (Manufacturing / UL Panel Shop)
We are seeking a detail-oriented and highly organized Project Coordinator to support our UL Listed Panel Shop. This role ensures projects move seamlessly from engineering to production, and that all documentation, compliance requirements, and client communications are handled with accuracy and professionalism. You will serve as the central link between engineering, manufacturing, clients, and contractors ensuring that each project meets specifications, stays on schedule, and delivers exceptional results.

Key Responsibilities

Manufacturing Project Coordination

• Manage timelines, resources, and information flow for panel fabrication projects from start to finish.

• Serve as the main point of contact between engineering, production, and clients to ensure alignment on specifications and progress.

• Submit, track, and follow up on project documentation, including submittals and O&Ms.

• Coordinate with internal teams to ensure production schedules are met and changes are communicated promptly.

Document Control

• Create, organize, track, and file submittals, O&Ms, marked-up specifications, panel drawings, and product datasheets.

• Ensure all documents meet project, UL listing, and specification standards prior to release.

• Save files with proper nomenclature in designated Dropbox folders and maintain alignment with Pro Novos and Wrike.

• Keep all platforms up to date with the current submittal stage and revision status.

Compliance Assurance

• Verify submittals align with contract requirements, UL standards, and project specifications.

• Flag and escalate any non-compliant items for resolution before production.

• Ensure all project documentation meets regulatory, client, and internal compliance requirements.

Communication & Liaison

• Submit submittals and O&Ms to General Contractors via Pro Novos, Procore, or email as required.

• Follow up to ensure timely responses and the return of reviewed documents.

• Facilitate communication between contractors, the shop floor, engineering, and design teams.

What We Look For

• Experience in manufacturing, electrical panel fabrication, or similar industrial production environments is highly preferred.

• Strong organizational skills with the ability to manage multiple projects simultaneously.

• Tech-Savvy:
Familiarity with Pro Novos, Wrike, Procore, Dropbox, and MS Office; comfortable learning new software platforms.

• Excellent written and verbal communication skills for both internal and client-facing updates.

Problem-solving mindset with the ability to address challenges proactively.

Attention to detail, especially regarding compliance, documentation, and quality control.
