Job Title: Deposit/Inventory Clerk

Department :

Position

Description:

This position performs a variety of general accounting support tasks for the company, including daily deposit, entering new and used vehicles into accounting, and operates a multi-line phone system and screens incoming calls as requested by managers.

Duties & Responsibilities
  • Verifies all documents are signed and completed properly
  • Process paperwork on a timely basis
  • Perform other duties as assigned or requested to assure optimum service levels
  • Perform general office duties such as typing, operating office machines, and sorting mail.
  • Answers questions about records and files add new material to file records and create new records, as necessary.
  • Finds and retrieve information from files in response to request from authorized users.
  • Keeps record of materials filed or removed, using logbooks or computers.
  • Perform periodic inspections of materials or files to ensure correct placement, legibility, and proper condition.
  • Place materials into storage receptacles, such as file cabinets, boxes, bins, or drawers according to classification and identification information.
  • Scan or read incoming materials to determine how and where they should be classified or filed.
  • Track materials removed from files to ensure that borrowed files are returned.
  • Gather materials to be filed from departments and employees
  • Verifies, allocates, and post transactions into proper journals and ensures transaction back-up documents are properly maintained.

  • Monthly schedules 33, EOM physical inventory
  • Entering checks, cash, credit cards for deposit with correct accounting accuracy
  • Monthly reconciling of new and used inventory, and deposit schedules
  • The Daily deposits
  • Dealer Trades (giving/receiving)
  • New inventory jackets and entering in VMS
  • Dealer Transfer in Global and posting new inventory to accounting
  • Scanning uploading
  • SFE Posting (end of month)
  • G.O.G Detail (end of Month)
  • Posting loaners/ gas receipts to accounting as received
  • Protects organization’s values by keeping customer information confidential
  • Attends meetings and training sessions as scheduled.
  • Follow policies and procedures as set forth in Employee Handbook.
  • Must have the ability to report for work on time, follow directions, interact effectively with co-workers, understand, and follow rules and procedures and accept constructive criticism.
  • Must use all company data bases and software according to company trained process and procedures.
  • Must maintain an 100% training status on all manufacturer and systems used by the Company all times.
  • Performs other duties as assigned by management.

Education & Experience

High school diploma or general education degree (GED); or one to three year’s related experience and/or training; or equivalent combination of education and experience.

Language Skills

Ability to communicate orally or in written form effectively with co-workers, potential and current clients, Ability to read, analyze and interpret written and verbal instructions in the English Language, with a time duration of 5 days a week 8-10 hours per day. Ability to write routine reports and correspondence, including writing grammatically correct emails and text messages in the English Language, with a time duration of 5 days a week 8-10 hours per day.

Ability to effectively present information and respond to questions from managers, clients, and customers in the English Language, with a time duration of 5 days a week 8-10 hours per day.

Mathematical Skills
