Job Overview

The Neurology team at Gloucestershire Hospitals NHS Foundation Trust is seeking two motivated, organised and efficient medical secretaries to support the medical staff and the administrative team. The role is for Band 3, full‑time, permanent.

Responsibilities
  • Provide comprehensive secretarial and administrative support to the medical staff and supporting team.
  • Cover colleagues during absences to maintain service levels.
  • Ensure excellent communication with patients, relatives, GPs, other hospital staff and external organisations.
  • Maximise clinic capacity – identify vacant slots, inform the booking office and act to secure appointments.
  • Manage the two‑week wait referral pathway and monitor patients to minimise or avoid breaches.
  • Regularly review and validate the clinician's outpatient return wait list.
  • Maintain administrative standards – typing times, passing test results, escalating potential 52‑week breaches to the clinician, supervisor or admin manager.
  • Handle clinic cancellations/alterations in line with Trust policy.
  • Deal with enquiries by letter, e‑mail or telephone from patients, GPs, hospitals, police, solicitors and management.
  • Highlight results, correspondence or patient queries to the clinical team and take necessary actions (book investigations, transcribe, etc.).
  • Book follow‑up appointments and investigations, negotiating dates with patients and creating correspondence.
  • Organise procedures in conjunction with clinical staff, ensuring coordination of staff, equipment, stock and external support.
  • Book translation services for patients where needed.
  • Type correspondence, detailed medical reports and minutes using digital dictation or Dragon voice recognition.
  • Handle DVLA forms and complete as required.
  • Delegate tasks to the band 2 clerical assistant when appropriate.
  • Support the development of service improvements, audit data collection and process reviews.
  • Assist with complaint resolution by collating information and working with the supervisor.
  • Work as part of an administrative support team, sharing workload and ensuring efficient, safe standards.
  • Cover colleagues during annual or sick leave and may undertake job rotation for development.
  • Perform routine office duties such as electronic note tracking, photocopying, faxing, filing and record maintenance.
  • Assist in training and induction for new and existing colleagues.
  • Take initiative, work flexibly and adapt to departmental demands.
  • Undertake any other duties commensurate with the role.
Qualifications & Experience
  • Education:

    GCSE grade C or above (or equivalent) in literacy and numeracy.
  • IT experience with Microsoft Office packages.
  • Essential experience in a hospital or office environment.
  • Desirable:
    Typewriting/word‑processing RSA Level 3 (or equivalent practical experience).
  • Desirable: NVQ in Administration level 2.
  • Desirable experience working as a secretary.
  • Desirable understanding and previous experience in medical terminology.
Knowledge and Skills
  • Ability to prioritise own workload and that of others.
  • Personal resilience and capacity to manage complexity in an ambiguous or changing environment.
  • Excellent presentational, communication and interpersonal skills.
  • IT proficiency to use hospital computer systems.
  • Self‑motivated and able to work independently.
