Job Summary

16 hours per week on Thursday and Friday, 08:00 – 16:30 ). The role involves receptionist duties at Gloucestershire Hospitals NHS Foundation Trust. This position supports the antenatal clinic, visitors and staff to ensure safe operations, high quality public service, and excellent patient care within Women & Children’s Services.

Main Duties
  • Welcome and receive patients, visitors, and staff in a polite, professional manner and perform general reception duties.
  • Handle all aspects of reception administration, using initiative to assess and resolve non‑clinical issues.
  • Prioritise work to provide continuous support for clinical staff and efficient patient care delivery.
  • Maintain accurate records and input data into electronic patient records, ensuring admission and discharge information is up to date.
  • File all results and other information in patient notes, keeping notes current and compliant with Trust standards.
  • Prepare notes for Consultant and Midwifery‑Led Clinics.
  • When necessary, schedule follow‑up appointments using appropriate systems.
  • Trace all notes accurately to enable timely retrieval when required for clinical needs, while upholding data protection and confidentiality.
  • Communicate discharge information to GP surgeries, community midwives, other maternity units, and multidisciplinary team members.

Job Responsibilities
  • Prepare and distribute patient documentation (e.g., scan reports, referral forms) ahead of scheduled clinics.
  • Ensure midwives and clinicians have access to patient lists and required resources at the start of each clinic session.
  • Liaise with sonographers, consultants, and community midwifery teams to manage clinic changes, over bookings, or absences.
  • Monitor and order clinic supplies such as patient leaflets, scan report paper, and admin materials.
  • Organise the distribution of antenatal information packs and keep materials up to date.
  • Maintain accurate filing of results and other information in patient notes in accordance with Trust standards.
  • Support security by monitoring visitors to the ward and reporting incidents to the Ward Manager/Administration Manager.
  • Use Trust Procurement Systems to order items, ensuring stationary levels are maintained for the ward and ordering required patient information leaflets/documents.
  • Report faults to the Medical Engineering/Estates Helpdesk and organise PAT testing/security marking of new equipment.
  • Communicate sensitive information appropriately and maintain confidentiality at all times.
Person Specification

Essential Qualifications

  • GCSE grade C or above (or equivalent) in literacy and numeracy.

Desirable Qualifications

  • IT Skills Certification.

Essential Experience

  • Reception and clerical experience.
  • Customer service experience.

Desirable Experience

  • Previous NHS experience in a hospital setting, preferably in a similar role.
  • Knowledge of NHS computer systems such as TRAK, P2P.

Essential Knowledge & Skills

  • Excellent communication skills (written and verbal).
  • Excellent customer service and social skills with the ability to engage positively with service users.
  • Excellent prioritisation skills.
  • Ability to use own judgement or initiative and work without direct supervision.
