The Gloucestershire Hospitals NHS Foundation Trust is modernising its medical rosters with the implementation of a new digital workforce rostering system. To promote a new way of working and change culture, the Trust is piloting a Core Rota Team to demonstrate the feasibility of a centralised approach, improving consistency and quality for doctors and ultimately for patients. This is an exciting opportunity to be part of a potentially groundbreaking new approach to medical rostering and to have a substantial impact on the quality of care.

Main Duties of the Job- Oversee the administrative duties of rotas assigned to the post holder
- Monitor rota communications
- Make shift changes where required
- Monitor the system for updates on ETWD and clinical compliance when changes occur
- Handle shift swap requests (where compliant)
- Request shifts for temporary staffing
- Monitor and act on the Core Rota inbox
- Report any non‑compliant leave requests
- Log sickness absence and support the department to gap‑fill
- Write rotas for publication within an acceptable lead‑up time
- Publish shifts through temporary staffing where required
- Work in direct collaboration with the Medical Rostering and Medical Temporary Staffing teams to ensure a joined‑up approach

Key Results Areas- Adhere to GHNHSFT policies, procedures, and guidelines as a condition of employment.
- Become the rota administrator for the Doctors/Dentists electronic rostering system.
- Provide efficient administration support to the Medical Rostering Team, including agenda building, minute taking, and production of action notes.
- Work closely with operational service lines, Clinical Leads, doctors, dentists, and corporate services to embed the system and its processes across the Trust.
- Use feedback and audit information to improve quality.
- Ensure that the roster system is effectively monitored and issues reported to management appropriately.
- Liaise and work closely with key stakeholders to ensure that information is submitted for reports to meet Trust deadlines where required.
- Support the Medical Rostering Team by delivering a comprehensive and effective administration service using own initiative and an innovative approach.
- GCSE Grade 4 (C) or equivalent
- NVQ Level 2 Business Administration
- Evidence of CPD
- Experience in writing / managing complex rota(s)
- Knowledge/Experience working in a clinical environment
- Knowledge of effective rota management principles
- Demonstrable experience in problem solving
- Experience working in fast‑paced environments
- Comprehensive experience in customer‑facing roles
- Substantial experience using Microsoft Office Suite
- Team player and supportive attitude
- Good English and Maths skills
- Excellent communication skills with ability to engage at all levels
