Head & Neck, Band 3, Patient Access Officer
30 hours per week
Provide administrative support to the Head & Neck admissions teams, including booking appointments for patients requiring surgical procedures into outpatient clinics and theatre lists.
Ensure patients are booked within Trust waiting time targets and that all clinic and theatre capacity is fully utilised.
Main duties- Contact patients for admission and negotiate appointments
- Book patients within clinical and Trust waiting time targets
- Process cancellations and re‑appoint patients
- Fully utilise all clinic and theatre capacity
- Liaise with clinical staff and their secretaries regarding waiting lists
- Book investigations as requested by the clinical team and negotiate dates with patients
- Validate each patient’s pathway by checking and updating RTT codes
- Inform the Unit Coordinator about progress and flag urgent issues
- Support the development of improvements to working practices and service reviews
- Assist in resolving complaints or concerns from patients/carers, collating information and escalating appropriately
- Work flexibly and proactively as part of a team, adapting to departmental demands
- Cover colleagues during absences/leave as directed by the Unit Coordinator
- Perform routine office duties (photocopying, faxing, filing)
- Liaise with relevant team members to ensure smooth process changes
- Coordinate with the Elective Bookings Supervisor and Booking Coordinators
- Participate in the Trust’s appraisal system and personal development planning annually
- Undertake training as necessary to develop the post
- Achieve and demonstrate agreed standards of professional development within agreed timescales
- Contribute positively to the effectiveness and efficiency of the teams in which you work
- Adhere to the Trust’s Kindness and Respect Policy
- GCSE grade C or above (or equivalent) in literacy and numeracy
- NVQ level 3 in administration or equivalent experience
- Appropriate experience in a hospital or office environment
- Experience with Microsoft Office packages; computer literate
- Understanding and previous experience in medical terminology / procedures
- Personal resilience and ability to manage complexity in a changing environment
- Excellent presentation, communication, and interpersonal skills
- Good command of English, punctuation and grammar
- Ability to effectively and appropriately escalates concerns to reduce risk
