We are seeking a confident and proactive Office Manager to take ownership of our administration function and support the business through a period of operational transformation. The role will play a key part in implementing and managing our paperless systems, helping transition the team to modern, digitally driven and customer focused ways of working. Initially focused on embedding new processes and supporting the administration team through change, the position will evolve into a leadership role responsible for team performance, development, and continuous improvement while ensuring the delivery of exceptional service across the business.

What

you will do Administration Leadership & Team Development
  • Lead, supervise and mentor the office administration team.
  • Conduct regular performance reviews, set clear objectives and manage under‑performance where necessary.
  • Support the team through organisational change and develop a strong customer‑service culture.
  • Create an environment of accountability, collaboration and continuous improvement.
Contract Administration & Cross‑Divisional Coordination
  • Provide senior oversight of administrative workflows across the Contracts, Projects, Air and Fire divisions.
  • Monitor workloads across divisions and allocate administrative resources to meet operational demands.
  • Work closely with divisional leads to anticipate project timelines and capacity requirements.
  • Maintain quality assurance systems across the business, including ISO
    9001 processes.
  • Oversee the administration and quality checks of documentation including:
    Legionella risk assessments, worksheets and certificates, and client training records.
  • Manage Out of Specification reporting to clients in a timely and professional manner.
  • Maintain strong governance and housekeeping across all company systems.
Paperless Transformation & Process Improvement
  • Lead the implementation and rollout of paperless systems.
  • Train and support staff in adopting digital processes.
  • Monitor compliance and ensure consistent use of new systems.
  • Identify inefficiencies in existing processes and implement improvements.
  • Constructively challenge outdated practices while maintaining effective existing procedures.
General Office Administration
  • Manage subcontractor evaluation records.
  • Work with the HSQE Advisor to support compliance activities.
  • Oversee office consumables and day‑to‑day office operations.
  • Ensure administrative systems remain compliant, efficient and aligned with business needs.
Human Resources (Office Staff)
  • Manage HR matters relating to office based staff including performance management and development.
  • Support recruitment activities across the business.
  • Monitor office health, safety and environmental compliance.
  • Maintain accurate HR records and support general HR administration.

  • A confident leader with proven experience managing and developing teams, able to support performance, coach others and lead through change.
  • Highly organised and detail focused, with excellent record‑keeping skills and the ability to prioritise workloads effectively.
  • A strong communicator and problem solver who can challenge processes constructively and identify opportunities for improvement.
