Description of Job

Colorado School of Mines is seeking a detail-oriented and proactive Administrative Assistant III to support the dynamic Economics and Business Department. This full-time, on-campus role (40 hours per week) is ideal for someone who thrives in a collaborative academic environment and enjoys ensuring smooth daily operations.

What You’ll Do

  • Manage administrative files and confidential databases, including Workday.
  • Handle phone calls, direct inquiries, and provide accurate information.
  • Process incoming mail and route documents.
  • Log and process faculty and student forms.
  • Coordinate logistics for departmental events.
  • Process payment requests and track financial transactions.
  • Manage calendars, schedule meetings, and take detailed minutes.
  • Monitor accounts and provide general administrative support.
  • Maintain and update department websites.
  • Create engaging communication and marketing materials for events.

Minimum Qualifications

  • Three (3) years of administrative experience including front‑desk reception, records management, event coordination, and basic technical accounting/bookkeeping. (Experience must be clearly documented in the "Work History" section of your application.)
  • OR a combination of related education and/or relevant experience equal to three (3) years. (Transcripts must be attached for educational credit.)

Preferred Qualifications

  • Proficiency with spreadsheet and word processing software (e.g., Word and Excel).
  • Strong interpersonal and customer service skills with the ability to interact with students, staff, and faculty from diverse backgrounds.
  • Excellent organizational skills, ability to prioritize tasks, make independent decisions, and provide on‑the‑spot answers to administrative questions.
  • Excellent judgment and discretion, able to work confidentially with sensitive information.
  • Workday experience.
  • Prior relevant state service experience.
