Position SummaryVescent Technologies is seeking an Executive Sales Assistant to join our team. The right candidate will play a vital role in enhancing the efficiency of the Sales team by managing administrative tasks, streamlining processes, facilitating communication, and supporting the achievement of the Sales goals. This position is pivotal in ensuring that sales operations run smoothly and efficiently, contributing to the overall success of the organization.
This candidate requires exceptional organizational skills, will be highly self‑motivated, very detail‑oriented, take utmost pride in their work, demonstrate great initiative in problem‑solving, enjoy learning new skills and communicating effectively across all levels of the organization. This candidate must have the ability to handle multiple tasks efficiently while maintaining high professionalism and confidentiality.
Key Responsibilities- Administrative Support:
Provide clerical assistance to the sales team, including managing schedules, preparing proposals, tracking opportunities and handling correspondence with clients. - Sales Coordination:
Coordinate sales activities, Sales Order entry into ERP system and track orders, send out timely Sales Order Acknowledgments and manage customer relationships to ensure smooth operations. - Communication:
Act as a point of contact between the sales team and other departments, ensuring effective communication and collaboration. - Data Management:
Maintain Sales Force, sales orders, generate reports, and analyze data to support decision‑making processes. - Customer Relations:
Research, prioritize, and follow up on incoming issues and concerns addressed to the Sales team. Handle incoming and outgoing electronic communications, compose and prepare professional correspondence and arrange complex travel plans. Frequent customer communication (B2B support), including international distributors and customers.
- College or professional degree in business or administrative studies or equivalent combination of related training and experience.
- Experience and proficiency in Salesforce CRM and ERP software. (Experience in Acumatica ERP is a plus.)
- Experienced in drafting professional correspondence.
- Proficient in Microsoft Office (Outlook, Teams, Word, Excel, and PowerPoint).
- Previous experience of 2‑5 years in a Sales support or administrative role is advantageous.
