Office Coordinator | Biddeford, ME

Salary: $23–$27 per hour (depending on experience, certifications, and licensing).

Position Overview

Full‑time, in‑office. Monday through Friday, 7:00 AM–4:00 PM. A dynamic Client Experience Coordinator will organize and manage a high volume of phone‑based communication and administrative functions in a fast‑paced environment.

Responsibilities

  • First point of contact and triage client and office needs
  • Field current and prospective client calls
  • Proposal production and contract initiation
  • Process employee timesheets and assist with payroll data entry
  • Maintain databases and spreadsheets
  • Order and maintain office supplies
  • Invoice, manage accounts receivable, and maintain files
  • Schedule appointments and coordinate service visits
  • Notify clients of scheduled applications and filing of necessary paperwork

Qualifications

  • Minimum two years of experience in office processes and administration
  • Excellent phone etiquette and communication skills
  • Proficient in Microsoft Outlook, Word, and Excel
  • Prior administrative, customer service, or call center experience
  • Familiarity with CRM and SAP systems (preferred)
  • Ability to meet deadlines with attention to detail and accuracy
  • Strong organizational skills and ability to multi‑task effectively
  • Comfortable working in a high‑volume, client‑facing environment
