Job Description

Position Summary

The Procurement & Strategic Sourcing Coordinator is responsible for supporting the centralization of purchasing across Trinity Basin Preparatory while identifying opportunities to reduce costs, improve vendor performance, strengthen purchasing controls.

This position combines procurement administration, strategic sourcing, spend analysis, competitive bidding support, vendor performance management, and purchase order processing. The successful candidate will work closely with district departments, campuses, and vendors to ensure that purchasing decisions are cost-effective, compliant, and aligned with the district's commitment to responsible stewardship of public funds.

Essential Duties and Responsibilities

Strategic Sourcing & Cost Optimization

  • Analyze district-wide spending patterns and identify opportunities for cost savings and procurement efficiencies.
  • Conduct market research and pricing analysis to identify alternative vendors, products, and services that provide greater value to the district.
  • Benchmark pricing against market rates, cooperative purchasing programs, and existing vendor agreements.
  • Develop sourcing strategies for high-spend categories such as instructional supplies, technology, facilities, maintenance, transportation, child nutrition, furniture, and professional services.
  • Support annual budget development by providing purchasing trend analysis and vendor cost projections.
  • Receive and review purchase requisitions from campuses and departments and prepare, process, and track purchase orders through the district's purchasing system (Skyward Q).
  • Serve as the primary liaison with Region 10, Region 11, and other approved cooperative purchasing organizations.
  • Analyze spending by campus, department, category, and vendor and prepare procurement reports and dashboards to support management decision-making.
  • Establish and maintain productive relationships with key vendors and suppliers across the district.
  • Manage new vendor onboarding, including required documentation, approval, and Skyward setup.
  • Coordinate quarterly vendor business reviews with district stakeholders, including Finance, Operations, Technology, Child Nutrition, Human Resources, and Campus Leadership.
  • Identify opportunities for cost reductions, service improvements, and operational efficiencies through vendor reviews.

Competitive Procurement & Compliance

  • Support Requests for Proposals (RFPs), Requests for Qualifications (RFQs), and Requests for Quotes under the direction of the Chief Financial Officer.
  • Assist with development of bid specifications, vendor communications, and proposal evaluations.
  • Support compliance with district policies and applicable state and federal purchasing regulations.

Education & Experience

Required

  • Bachelor's degree in Business Administration, Finance, Accounting, Public Administration, Supply Chain Management, or related field.
  • Minimum of three (3) years of experience in procurement, purchasing, finance, accounting, operations, or a related field.

Preferred

  • Experience in a public school district, charter school, municipality, healthcare organization, or other multi-location organization.
  • Experience supporting RFPs, RFQs, vendor evaluations, and competitive procurement processes.
  • Experience working with financial management, purchasing, or ERP systems.

Knowledge, Skills & Abilities

  • Strong analytical and problem-solving skills.
  • Knowledge of procurement principles, purchasing controls, and sourcing practices.
  • Strong organizational and project management skills.
  • Excellent verbal and written communication skills.
  • Advanced Microsoft Excel skills.
