Business Operations & People Coordinator

What You'llDo

The primary function of the Business Operations & People Coordinator is to support the Sr. Director of Business Operations with administrative and business tasks, communications, and project management. This individual will communicate across several audiences including CPG associates, firm leadership, and vendors.

Human Resources (HR):

  • Responsible for internal team communications, including weekly updates, leadership presentations, and staff announcements and recognition.
  • Coordinates and prepares materials for team meetings.
  • Coordinates culture and engagement activities for the firm's associates.
  • Completes payroll and benefits administration.
  • Assists with job posting and recruiting for open firm positions.
  • Tracks and registered associates for trainings and events.
  • Maintains the accuracy and completeness of the firm's associate directory.
  • Acts as the IT subject matter expert and provides guidance to internal associates on the usage of our tools and technology.
  • Supports tech implementation and training for firm associates.
  • Coordinates with external IT support team on IT tickets.
  • Tracks and coordinates IT software and hardware access for firm associates.

Business Operations & Office Administration Support:

  • Weekly monitoring of employee time tracking.
  • Processes and reconciles employee expense reimbursements for journal entries.
  • Supports closing out the end of month and monthly billing activities.
  • Tracks and manages reconciliation of third-party vendor accounts.
  • Maintains shared office space.
  • Coordinates ordering of marketing collateral and promotional items.
  • Provides backup and support to Growth & Communications Manager as needed. Supports the Sr. Director of Business Operations with administrative and business tasks, communications, and project management.
  • Assists in elevating the operations function of the firm to align with mission, vision, values and culture.
  • Orders office supplies and associate gifts.
  • Monitors the firm's shared inbox.
  • Other duties asrequiredto advance the mission of the firm.

What You'll Bring

  • Two or more years of administration experience in a small business environment.
  • Associate's degree in business administration or related field or equivalent experience.
  • Excellent interpersonal and communication skills through verbal, listening, and written communication, with people from diverse backgrounds and experience
  • One or more years of experience in providing HR support.
  • One or more years of experience in general office administration, payroll, accounts receivable, and employee benefit administration, preferably in a small business.
  • Proficient skills in Microsoft Suite especially Microsoft Outlook, Microsoft Teams, Microsoft Word, Microsoft Excel, and Microsoft PowerPoint.
  • Additional knowledge of the following web-based applications preferred, but not required: accounting software, project management, payroll processing systems, artificial intelligence platforms, cloud-based graphic design software, and software-as-a-service platforms.

  • Balances independent work with working with a team
  • Fluent in English language (speaking and writing)
  • Initiative-taking and deadline driven. Detail-oriented and highly accurate
