Responsibilities
Forest View Hospital, located just seven miles southeast of downtown Grand Rapids, Michigan, is a private 108‑bed psychiatric facility that serves children, adolescents, and adults. The hospital is licensed by the State of Michigan, fully accredited by The Joint Commission, and has more than 45 years of experience in evaluating, diagnosing, and treating a wide range of behavioral health problems.
The Administrative Assistant provides support and assistance to the Chief Nursing Officer (CNO) and all other members of the Nursing Leadership Team, including the Assistant Chief of Nursing (ACNO), the Infection Control Nurse, the Nurse Educator, and the department managers and supervisors. This role coordinates various administrative processes and projects and offers full‑range administrative support to the nursing department.
EssentialJob Responsibilities
- Answer and return phone calls for the CNO and ACNO, and manage mail and correspondence as needed.
- Collect, review, and analyze data, and prepare reports and presentation materials.
- Distribute reports and communications as required.
- Work with clinical shift supervisors to coordinate staffing needs for the hospital, adjusting staffing for census changes and patient acuity.
- Maintain files, electronic data, and archived records in accordance with the hospital’s retention policy:
- Team reports
- Assignment sheets
- Miscellaneous nursing department forms
- Schedule and coordinate meetings and other group activities, including taking meeting minutes.
- Purchase medical and office supplies in line with hospital policy, ensuring necessary supplies are always available:
- Furniture
- Medical equipment for the hospital
- Patient‑care items
- Miscellaneous nursing department supplies
- Manage medical equipment in the nursing department, requesting service or inspections as needed.
- Ensure employee hours are allocated to the correct department and cost center.
- Process time‑punch corrections for staff, ensuring accurate time records and pay.
- Track absences of nursing staff.
- Provide updates to the Director/supervisor when attendance concerns are identified and intervene directly with staff as directed.
- Prepare corrective‑action documentation regarding absences, tardies, no‑call/no‑shows, refusals of mandates, personal conduct, and other policy violations.
- Conduct interviews and recommend hires for new mental health worker candidates as needed.
- Assist in coordinating department new‑hire orientation.
- Assist in coordinating new employee performance evaluations.
- Assist the Infection Control RN in coordinating and managing vaccine clinics, special projects, and other regulatory reporting requirements.
- Act as the liaison between Nursing Administration, HR, and nursing department employees.
- Perform special projects and other duties as assigned.
