At Open & Shut we're a vibrant and growing company specializing in premium windows and doors, along with full-scale home remodeling projects. Our passionate team takes pride in top-quality craftsmanship and exceptional customer service. We're looking for an Administrative Assistant who thrives in a dynamic environment, takes initiative, and brings structure and efficiency to our day-to-day operations.

What You'll Do Scheduling & Communication

Book initial consultations for prospective clients with our sales team

Coordinate and confirm window and door installation appointments

Manage rescheduling, cancellations, and client follow-ups

Respond to emails, calls, voicemails, and online inquiries promptly and professionally

Calendar & Office Management

Maintain and organize the company-wide master calendar, including sales, installations, and internal meetings

Provide daily administrative support to the sales, operations, and office teams

Serve as the first point of contact for all deliveries, incoming and outgoing

Showroom & Customer Experience

Keep the showroom clean, stocked, organized, and ready for customer visits

Greet walk-in customers and direct them to the right team member

Assist with walk-throughs and create a welcoming customer experience

Additional Administrative Tasks

Enter and maintain data in our CRM and project management tools

Help create and update customer files and project documents

Support internal meeting coordination and track administrative tasks

Manage office supplies and vendor communication as needed

Who You Are

A strong multitasker who's detail-oriented and adaptable

Experienced with scheduling platforms, CRM systems, and Microsoft Office or Google Workspace

Minimum of 2 years in a similar administrative role (experience in construction, remodeling, or service-based scheduling is a plus)

Independent and resourceful, while being a reliable team player
