Job Title: Learning & Development Coordinator

Location: Port of Grangemouth

Hours: 35hr contract - Monday-Friday

Compensation: £26,000-£31,000

About the role

The Learning & Development Coordinator plays a key role in providing comprehensive coordination and administrative support to the Learning & Development function. Based at the Skills & Business Centre in Grangemouth, the role is responsible for the efficient administration, planning and coordination of learning and development activities across the business, ensuring training programmes, systems, records and processes are managed accurately and effectively.

Working closely with colleagues, managers, training providers and external accreditation bodies, the Learning & Development Coordinator will support the successful delivery of training initiatives, early careers programmes and wider learning activities, helping to ensure employees have access to high-quality development opportunities that support business objectives.

Key responsibilities:

  • Assist with the development and maintenance of robust learning and development digital systems and processes to ensure efficiency and effectiveness of the service offering across the Group.

  • Learning Management System SME - accountable for supporting with the successful implementation, ongoing maintenance and further development of the system. This includes ensuring its alignment with business needs and assisting with improvements to support the evolving learning strategy.

  • Collate all training requirements and requests via reports to produce, co-ordinate and deploy collective learning and development plans.

  • Proactively support the Learning & Development Department in the full range of training

  • activities including arranging all internal and external training courses.

  • Facilitate effective communication with other Departments to ensure all training is properly planned and co-ordinated.

  • Ensure the internal and external quality assurance of the Learning & Development Department is maintained - undertake regular audits of internal systems and records and act as point of contact for external audits.

  • Monitor budgets and funding, including ensuring proper tracking and allocation of funds.

  • Identify any discrepancies or issues related to the budget and promptly report them to the Learning & Development Manager for resolution.

  • Support and co-ordinate Early Career Programmes including recruitment assessment centres, apprentice quarterly reviews and work placements/internships.

  • Assist and coordinate the ESG agenda, including Forth Ports Schools Discovery Weeks.

  • Manage and oversee all administrative functions related to the Scottish Qualifications Authority (SQA) Centre.

  • Develop and generate Management Information reports on learning and development activities in the Scottish Operation.

  • Act as first point of contact for training enquiries for managers, participants and suppliers.

  • Assist with the development of social media pages for the Skills & Business Centre.

  • Perform general administrative tasks such as organising files, scanning documents and making photocopies.

  • Assist in the research of external courses and training providers to identify best solutions for requirements, quality and cost reduction.

  • Support the purchasing and financial reporting processes for the Learning & Development team.

  • Offer administrative support to the Learning & Development team in planning internal and external meetings.

  • Any other duties as required.
