Job OverviewThe Dedicated Inside Sales Associate supports a specific outside sales representative and their customer portfolio, acting as the primary internal partner for quotes, communication, and project follow-through. Unlike shared‑service team members who assist a broader pool, this role is intentionally focused—building familiarity with assigned accounts to improve responsiveness, consistency, and project execution. The ideal candidate is detail‑oriented, customer‑focused, and driven to help both the sales rep and the customer succeed from proposal to delivery.
Key Responsibilities- Serve as the primary inside sales contact for the assigned outside sales representative and their customer group.
- Prepare quotes, submittals, pricing packages, and documentation based on plans, specifications, or customer needs.
- Coordinate project requirements directly with the assigned outside rep, including follow‑ups, status updates, and action items.
- Communicate pricing, availability, lead times, and product information to customers and partners.
- Track orders, monitor schedules, and address delays proactively to ensure smooth job execution.
- Maintain organized project files, CRM updates, and documentation for assigned accounts.
- Assist with equipment takeoffs, plan/spec review, or coordinate with engineering when required.
- Develop working knowledge of products/manufacturers tied to the rep’s territory or segment.
- Support customer relationship building through prompt response, consistent communication, and attentive service.
- Work closely with logistics, operations, and internal teams to move jobs from quote to fulfillment successfully.
- Bachelor’s degree in business, HVAC Technology, Engineering, or related field preferred.
- 1–3 years of inside sales, estimating, order management, or project coordination experience (HVAC or building systems a plus).
- Ability to read and understand mechanical drawings, specifications, and technical documentation.
- Proficiency with Microsoft Office; CRM or quoting software experience is helpful.
- Strong written and verbal communication skills with attention to accuracy and detail.
- Customer-focused with a professional, solution-oriented approach.
- Highly organized and able to manage multiple projects, deadlines, and follow-ups.
- Comfortable working in a fast-paced environment with shifting priorities.
- Technical curiosity and interest in HVAC systems, equipment, and product application.
- Team-oriented mindset — able to collaborate effectively with sales, operations, and partners.
