Operations Support Specialist

The Operations Support Specialist is a cross-departmental role that supports both Project Management and Service at California Solar Electric Cooperative. This position keeps our operations flowing smoothly by managing permit and PG&E application submittals, coordinating scheduling for service and RSI site assessments, and providing general administrative support. The ideal candidate is highly organized, comfortable juggling multiple priorities, and enjoys helping people, both internally and externally.

This is an entry-level position with room to grow. Over time, the right candidate may expand into a full‑time Service or Operations role as they develop troubleshooting and system monitoring experience.

Key Responsibilities Service Department
  • Be the first point of contact for incoming service calls, offering a calm and solution‑oriented customer experience.
  • Intake and triage customer issues, create service calls in Zoho, and route appropriately for scheduling or troubleshooting.
  • Support basic troubleshooting for common monitoring or inverter issues using established guides.
  • Assist with system monitoring for active service contracts, identifying underperformance or alerts and escalating as needed.
  • Manage the service calendar, ensuring coordination between site assessments, service calls, and technician schedules.
  • Cover the service email inbox as needed (especially on Fridays).
  • Participate in ongoing training to grow familiarity with solar and storage systems.
Project Management Department
  • Submit and track permit applications with local jurisdictions.
  • Submit PG&E interconnection applications (primarily initial submittals).
  • Create job folders for installation crews, including permit documents, design information, and other relevant project details.
  • Coordinate RSI (Residential Storage Initiative) scheduling and communication with customers.
  • Perform additional administrative tasks and ad hoc assignments that support project flow.
General Operations
  • Receive deliveries and assist with labeling and storage; forklift operation is a plus (training provided).
  • Maintain a tidy and organized workspace, coordinating with others to ensure deliveries are received efficiently.
  • Take on batch or overflow tasks from Project Management or Service as needed to balance workloads and improve efficiency.
  • Participate in Service & PM team meetings, process improvements, and cross‑department collaboration.
Ideal Qualities
  • Strong communication skills and a calm, professional phone presence.
  • Highly organized, detail‑oriented, and proactive in following up.
  • Comfortable learning new software systems (Zoho, Google Workspace, and monitoring platforms).
  • A collaborative team player who can pivot between departments as priorities shift.
  • Interest in renewable energy, cooperative business, and sustainable community values.
