Claxton are looking to hire an Offshore Operations Coordinator on a full time, permanent basis. Based at their facility in Great Yarmouth, the role holder to work very closely with the Offshore Operations Manager and administrator to Coordinate and support the Offshore Operations Team, to ensure optimum service delivery. You will be required to plan personnel for Offshore Operations, attend pre-job and post job briefings and work across departments regarding lessons learned.

Be a focal point for the offshore service techs day to day to allow for the Offshore Operations Manager to manage the department and drive efficiency. The aim of the role is to enable a smooth efficient operations function within Claxton.

Duties & Main Responsibilities
  • Preparation of monthly payment run, collate, and present OST's bonus sheets for approval and deal with queries form the technicians.
  • Attendance at pre/post job briefings to represent offshore operations.
  • Attend various meeting as well as kick off meetings and understand the resources need for operations
  • Liaise with the OOM and projects regarding schedules and up and coming requirements
  • Assist in the planning of personnel, utilising available tools to develop short/long-term manning schedules, ensuring crew planner is maintained.
  • Actively plan and manage the utilisation of staff, day rate, and agency personnel, including minimising unused contracted days.
  • Liaise with onshore and offshore management regarding the deployment of personnel.
  • Understand and ensure that personnel are in possession of the necessary current certification required for their discipline/position.
  • Manage and assign all relevant Personnel Protective Equipment (PPE) to offshore service technicians to ensure they have everything they need for the environment and country they are mobilising to.
  • Support Offshore Ops Administrator to deliver personnel offshore in a timely manner including an understanding of the timelines for the processing of visas.
  • Maintain relationships with personnel agencies and raise purchase requisitions for agency personnel as required.
  • Work with OOM to prepare third party contractor evaluations prior to mobilising and ensure senior management sign off.
  • Drive and assess competency for the OST's and liaise with the OOM to ensure KPIs are met regarding the completion of units and keep training requirements and matrixes up to date.
  • Work with the team to ensure all IR35 assessments are completed and verified by management.
  • Maintain database of risk assessments and general country information for areas of operations.
  • Ensure that initial country risk assessments are conducted for all new work areas with input from HSSE.
  • Provide general administrative support to the offshore ops team and relay any welfare issues to the OOM
  • Support the OOM by monitoring DFR’s and lookaheads for changes in timings and orchestrate any actions needed to support changes in client work scopes.
  • Act as a deputy to the OOM when he is on leave or sick to ensure the Offshore operations department functions are met.
Required
  • Educated to GCSE level in Maths and English
  • Knowledge of Oil & Gas PSOs, schedules, quality deadlines and exposure to IMS integrated management systems
  • Knowledge of health and safety, safe systems of work and legal regulations for Offshore workers
  • Competent user of Microsoft Software packages
  • An understanding of the process to mobilise personnel both nationally and internationally to offshore worksites (ticketing, visa applications, work permits, inoculations etc)
  • Good knowledge of training requirements for offshore disciplines
  • 3+ years’ experience in an offshore staffing/planning role
  • Excellent organisational skills and attention to detail
  • The ability to communicate clearly and concisely with diverse audiences and have good interpersonal skills
  • To act responsively and be able to problem solve in challenging situation is a critical attribute to the role
  • Must possess self-belief and be self-motivated to start and finish tasks on time
  • Flexible and be able to work under pressure to meet deadlines
  • Must be able to lead and coach others
  • Hold a UK passport and driving license
