Senior Transportation and Logistics Coordinator

Position Summary

Oversees daily dispatching, scheduling, and coordination of CSC company trucks and outside freight haulers across Maryland, Virginia, Washington, D.C., and surrounding areas. Works directly with project teams, dispatch, warehouse, drivers, and fleet personnel to plan freight movements, meet delivery commitments, and maximize truck utilization. Also manages carrier coordination, transportation records, cost controls, and E-ZPass administration.

Truck Dispatching and Freight Coordination

Plan and dispatch daily and upcoming freight loads; coordinate priorities and delivery windows with project managers, warehouse teams, dispatch, and field personnel.

Assign suitable trucks, trailers, and drivers based on freight dimensions, weight, handling requirements, site access, and availability.

Coordinate pickups and deliveries between CSC facilities and project locations; provide drivers and haulers with accurate load details and instructions.

Track assignments, locations, arrival times, and delays; communicate status changes and resolve scheduling conflicts promptly.

Anticipate future freight requirements with project teams and coordinate multiple shipments across competing schedules.

Fleet Utilization and Outside Haulers

Improve fleet utilization through load consolidation, return loads, reduced empty miles, and minimized idle time.

Coordinate driver availability and vehicle maintenance holds with fleet and safety personnel.

Secure outside freight carriers when needed; compare quotes, negotiate within approved limits, and verify insurance and credentials.

Monitor carrier reliability and address service problems, delivery disruptions, and capacity shortages.

Tracking, Cost Control, and Administration

Maintain accurate dispatch, GPS, load, delivery, and truck assignment records.

Manage E-ZPass transponder assignments, transfers, inactive tags, balances, and monthly toll reconciliation; investigate discrepancies and violations.

Review freight bills, delivery records, and carrier invoices for rate accuracy, additional charges, tolls, and job allocation.

Report utilization, delivery performance, outside hauling costs, and savings opportunities to the VP; recommend dispatch process improvements.

Authority and Coordination

Exercises independent judgment in daily truck scheduling and routine freight issues, and provides guidance to coordinators as assigned. Carrier spending and commitments remain within VP-approved limits. Hiring, discipline, and budget authority remain with management unless delegated.

Qualifications

High school diploma or equivalent required; transportation, logistics, or business coursework preferred.

Four to six years of progressively responsible freight dispatch, trucking, or logistics experience preferred, including complex scheduling and outside carrier coordination.

Knowledge of commercial truck and trailer configurations, freight handling, load securement, route restrictions, permits, and driver hours-of-service requirements.

Experience evaluating freight rates, resolving service issues, and reconciling transportation expenses.

Proficiency with Excel, Outlook, dispatch software, GPS tracking, and electronic records; E-ZPass experience preferred.

Strong communication, planning, negotiation, and problem-solving skills; able to prioritize competing project needs.

Working Conditions

Primarily office-based with frequent communication with project teams, drivers, and carriers. Occasional visits to yards, warehouses, or project sites may require PPE. Early starts or additional hours may be necessary. Essential functions may be performed with reasonable accommodation.

Performance Expectations

Maintain reliable, on-time freight pickups and deliveries; accurate dispatch, truck, and toll records; timely reconciliations; and complete carrier documentation. Improve fleet utilization while reducing empty miles, avoidable delays, and freight costs. The VP establishes measurable targets and reporting deadlines.
