Join our team and apply your expertise as an Administrative Assistant for our Technical Service Team.

We are seeking a proactive and detail‑oriented person to join our Technical Field Service team s role provides essential administrative support to ensure the smooth operation of field service activities. The ideal candidate will assist with technician onboarding, safety compliance, documentation creation, and SAP‑related tasks. This position also supports Project Coordinators and supervisors, contributes to process improvements, and helps maintain consistent standards across the team.

Key Responsibilities
  • Assist with the recording and processing of time sheets for field service technicians.
  • Manage expense reporting, ensuring accuracy and timely submission.
  • Coordinate safety training requirements and maintain safety records for internal training purposes.
  • Utilize SAP platform for various administrative tasks and data management.
  • Support the design and set up SharePoint sites for team collaboration and information sharing.
  • Arrange travel accommodations for field service technicians, including booking flights, hotels, and transportation.
  • Support Project Coordinators by maintaining documentation for large new equipment projects.
  • Perform general administrative duties, such as filing, data entry, and correspondence.
  • Organize and maintain safety training records for internal compliance.
  • Export call logs and generate Expert On Line (EOL) sales orders.
  • Proactively participate in process improvement initiatives to enhance administrative and operational efficiency.
  • Assist in the creation and implementation of standards to ensure consistency and quality in field service activities.
  • Coordinate and deliver training sessions for field service team members on new processes and standards.
  • Support the mechanical and electrical technician supervisors with daily task requirements.
  • Enter purchase requisitions accurately and promptly.
  • Draft and distribute formal interdepartmental communications.
  • Oversee all technical service record‑keeping responsibilities to ensure meticulous documentation.
  • Manage incoming calls and direct inquiries appropriately.
  • Support office operations by maintaining cleanliness and order in shared spaces, including the kitchen, meeting rooms, and supply areas.
  • Manage incoming and outgoing mail, including collecting, sorting, and distributing correspondence and packages to appropriate departments or staff.
Qualifications
  • High school diploma or equivalent; additional administrative certifications are a plus.
  • Experience in an administrative role, preferably in a technical or field service environment.
  • SAP and SharePoint experience is a plus.
  • Strong organizational and time‑management skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Preferred Skills
  • Experience in the manufacturing industry.
  • Knowledge of safety training protocols and record‑keeping practices.
  • Ability to work independently and collaboratively.
  • Strong problem‑solving skills and a proactive approach to tasks.
