Under general supervision performs clerical work of a varied nature, requiring familiarity with basic agency and unit procedure and the ability to exercise independent judgment in carrying out assignments.
Performs clerical tasks for all Economic Support programs including Medicaid, Badger care Plus, Food Share, and Child Care assistance.
Responsibilities- Greets and assists consumers entering the Economic Support area.
- Determines consumer’s reason for stopping and directs them appropriately.
- Provides basic information on Economic Support programs and services.
- Notifies appropriate staff when an appointment is waiting via phone, email, voicemail, or computer system.
- Responds to general inquiries about applying for Food Share, Medicaid, Badger care Plus, Child Care, and other public assistance programs.
- Queries state computer systems to determine if an application is necessary and provides the required forms.
- Assists in form completion and directs in-person applicants to the client registration specialist.
- Researches State computer systems to answer questions about case status and benefit issuance.
- Provides appropriate paperwork/forms to customers for obtaining needed verification.
- Explains and assists with proper completion of forms and relevant federal, state, and agency policy.
- Performs client registration functions and enters data into the computer system.
- Schedules appointments when applicable and researches requests to avoid duplication.
- Determines if a case meets priority service standards and schedules appointments or assigns to an Economic Support Specialist.
- Maintains application rotation spreadsheets and stays familiar with community resources and partnering agency services.
- Provides contact information to customers requesting resources.
- Uses the Customer Assistance for Re-employment and Economic Support (CARES) and CARES Worker Web (CWW) systems to respond to consumer questions.
- Answers incoming phone calls on the main Economic Support line.
- Records and maintains inventory of Foodshare Quest cards and assists in issuing temporary cards.
- Sorts, dates, codes, scans, and indexes incoming mail.
- Monitors inventory of general office supplies and places orders as directed.
- Manages the shared email inbox for Support Services and offers timely, encrypted responses.
- Serves as backup for various duties within the Support Services Unit. Non‑essential duties:Performs other related functions as assigned.
- Knowledge of general office procedures, correct spelling, and proper grammar.
- Ability to utilize computer and required software.
- Skilled in operating office machines (copy machine, fax machine, telephone, and personal computer).
- Ability to perform varied and somewhat complex clerical tasks.
- Ability to establish and maintain effective working relationships with staff and the public.
- Ability to assume responsibility and follow established procedures.
- Ability to understand and carry out fairly complex oral and written instructions.
- Effective oral and written communication skills.
- Data entry rate of 65 net keystrokes per minute.
- Ability to work the required hours of the position.
Lifting 30 pounds maximum with frequent lifting and/or carrying of objects weighing up to 20 pounds. Intermittent standing, sitting, and walking. Repetitive hand/foot use for single grasping, fine manipulation, and pushing/pulling. Communicating orally in a clear manner. Distinguishing sounds and objects at various distances under varying light conditions.
