Location:
Green Bay, Wisconsin, United States
Full-time, 30‑hour weekly role with benefit eligibility.
Job SummaryCoordinate the corporate and self‑pay billing process via Systoc. Work directly with patients, business and industry contacts, and Prevea staff to resolve any issues regarding the billing process.
Responsibilities- Knowledgeable and competent in Systoc, including company set‑up module (protocols, procedures, tasks and fees), appointment module, billing module, file maintenance, utility module, and ability to run reports.
- Reviews and corrects Systoc flow sheets (procedures/fees) for all Sheboygan Systoc appointments.
- Mails/faxes completed forms to employers and/or patients in a timely manner.
- Enters fees to correct invoices for all flow sheets noted above.
- Posts and reconciles Sheboygan payments (cash, checks, credit card) on scheduled work days.
- Schedules multi‑patient (client service log) OHN services in Systoc and enters charges to the correct invoice.
- Schedules Sheboygan onsite OHN hours and supply expenses in Systoc and enters charges on a monthly basis.
- Performs weekly reports of missing charges for Sheboygan Systoc and reconciles as needed.
- Runs and mails end‑of‑month Systoc invoices (new/aged) for Sheboygan.
- Reviews and follows up on delinquent Green Bay and Sheboygan Systoc accounts.
- Sets up payment arrangement plans by contacting delinquent accounts and sending collection letters.
- Advises company representatives on financial arrangements according to clinic collection policy.
- Works closely with department managers, employers, and patients to resolve any billing issues.
- Provides support for providers, managers, and Work Med staff as necessary.
- Minimum of a high school education with additional training as an administrative assistant.
- Prior experience in a medical clinic.
Skills and Abilities
- Knowledge of medical terminology.
- Ability to use fax, telephone, and a variety of computer programs and technologies.
