Overview
The Project Manager (PM) will be responsible for developing and leading a cross‑functional team in the pursuit of developing a system from sale to final installed solution. During this period the PM will interact with all aspects of the business unit including design, procurement, manufacturing, assembly, and testing. The PM will guide the team toward a solution that fulfills customer needs while meeting budget and time constraints.
PMs will start being exposed to a project toward the end of the sale cycle as a purchase order becomes highly likely. Upon receiving an order from a customer, the PM will work with the Sales Engineer responsible to initiate a project kickoff. Once completed, the PM will have sole responsibility of the project, supported by other PMs in the Operations Group as they learn the steps needed to complete increasingly complex projects successfully.
The PM may also support other PMs on larger projects, including site management, and work with the Scheduler and management team to resolve resource and schedule conflicts, contributing to the strategic objectives of the department.
- Approve all supplier invoices related to the project and immediately return "held" invoices to the coordinator with a clear reason for holding.
- Assist in creation, review, and execution of department yearly strategic initiatives.
- Assist Sales in managing escrow amounts of post‑completion costs, if applicable.
- Maintain awareness of budget margin and current forecast margin +/- 1% of all major projects, advising management of any significant expected deviations and updating accounting forecasts in ERP software.
- Coordinate resolutions to post‑project warranty and customer service issues with Service Manager.
- Estimate floor‑space requirements for projects in fabrication and assembly phases.
- Document, publish, and present project lessons learned, and capture lessons‑learned videos. Ensure current project close‑out checklists are complete.
- Estimate and direct internal resources necessary to successfully complete projects, communicating current and anticipated needs to the team.
- Forward all contact information to the Project Coordinator for inclusion into CRM.
- Maintain an organized file throughout the project and work with the support specialist to archive necessary documentation; responsible for clean‑up of the electronic file library.
- Manage and publish project schedules using an electronic Gantt chart, communicating delays to other project parties and maintaining baseline schedules for comparison.
- Obtain customer signature on contractual documents, including functional scope, factory, and final acceptance forms.
- Participate in post‑project victory engagements.
- Provide weekly written updates on projects, including financial and milestone status, publishing weekly internal and external project status reports throughout the project life cycle.
- Recommend the best internal Bastian Solutions team for the project. Primary responsibility for subcontractor selection with input from Sales and Management; ensure contracts with subs are structured correctly and leverage existing Bastian templates.
- Ensure content, format, and timeliness of all project correspondence and submittals, including drawings, letters, equipment and controls documentation, spare parts lists, purchase orders, etc.
- Review and approve all design releases associated with the projects.
- Review proposals, contracts, and new orders for accuracy and commercial and technical issues, with another team member reviewing key documents.
- Support Project Managers, Senior Project Managers, Project Coordinators, and Site Supervisors on larger projects or when help is needed in the field.
- Work with Scheduler and other PMs to develop global schedules and resource assignments.
- Maintain positive cash flow on all projects and follow up on past‑due invoices with the support specialist.
- Execute any and all additional job duties as assigned.
- Up to 40% travel to custom sites (travel expenses covered by Bastian Solutions).
