Summary: Reports to the unit manager. Daily activities are dictated by the needs of the patients and staff in the unit. Independently works with the patient care team to ensure all business functions related to patient care and flow through the department are effectively carried out. Coordinates/performs intra- and inter-departmental/facility communication related to patient care and unit functioning.

Job Responsibilities
  • Functions as a critical primary contact for the unit and facilitates/coordinates the collection and dissemination of vital patient and department information.
  • Utilizes downtime forms and procedures.
  • Prepares medical records, including copies of the chart, completing all appropriate forms, obtaining signatures, faxing patient demographics, and obtaining imaging discs before patient transfer, ensuring all pages are accurately labeled with correct patient identification.
  • Arranges transportation for patients per provider orders, ensuring all paperwork is completed, signed, faxed, and a packet accompanies the patient to the various transfer systems.
  • Proficient in using SMS, OLOS, Mass Health transportation system, Tele-Tracking, First Net, Core Text, SOC system, and Tele-trauma consults.
  • Discharges all ED patients from the department in SMS (discharged, admitted, transferred), correctly handling each process and collecting necessary forms for expired patients.
  • Answers telephone consistently in a courteous manner with proper identification and ensures direction to the appropriate team member without delay (at least 120 calls per shift). Answers intercom and relays messages promptly to team members.
  • Sorts, distributes, and files department incoming mail and computer-generated information.
  • Maintains inventory, charges supplies, initiates requisitions, and records or submits charges and credits for patient supplies as needed.
  • Is knowledgeable of and initiates emergency procedures, including stroke, STEMI, and sepsis, and mobilizes the Code team when needed.
  • Enters transportation orders for all patients traveling to other departments through tele-tracking and uses the system to obtain items needed in the department.
  • Arranges ambulance and other external transportation, including Life Flight, for patients transferring to other destinations, obtaining authorization, patient demographics, medical necessity, provider and nursing signatures.
  • Communicates with lab, radiology, respiratory therapy, ultrasound, and other departments concerning all patient orders.
  • Establishes and maintains collaborative relationships with health care team members, assists with patient care activities, and provides feedback to coworkers to promote effective team relationships.
  • Orders office supplies for the department as needed and enters work orders for tracking board, equipment, and facility issues.
  • Uses MUSE system throughout shift to ensure overread is entered, orders are attached, and all EKGs are sent to the reader for CIS upload.
  • Oversees signing out and in of Vocera badges and BH pod keys each shift.
