Mental Health Unit Clerk – Baystate Health (Req #R39197)
Job Summary
:
Reports to the unit manager. Daily activities are dictated by the needs of the patients and staff in the unit. Independently works with the patient care team to ensure all business functions related to patient care and flow through the department are effectively carried out. Coordinates/performs intra/inter‑departmental/facility communication related to patient care and unit functioning.
Compensation
: $16.02 – $18.79 – $22.36 per hour (non‑exempt, part‑time).
- Part‑time 24‑hr position
- 8a‑8:30p Thursdays and Fridays
- Every other holiday rotation
- High School diploma or GED
- Acute care hospital experience (preferred)
- Proficient in Microsoft programs
- Three years in an acute hospital setting
- Behavioral health experience
- Medical secretary or unit clerk experience (minimum one year) and computer knowledge
- Functions as a critical primary contact for the unit and facilitates/coordinates the collection/dissemination of vital patient and department information.
- Accurately utilizes downtime forms and procedures.
- Prepares medical records and related paperwork before patient transfer, ensuring accurate labeling and signatures.
- Arranges transportation for patients per provider order, including air, ground, critical care, or wheelchair, ensuring all paperwork is complete.
- Discharges ED patients from the department in SMS, handling appropriate processes for discharged, admitted, or transferred patients; manages expired patient paperwork and sends complete discharge records to medical records by shift end.
- Maintains accurate and timely communications within the unit, answering at least 120 calls per shift courteously.
- Responds to intercom messages promptly, addresses routine inquiries, and refers them to the appropriate person.
- Sorts, distributes, and files department incoming mail and computer‑generated information.
- Inventories, maintains, and charges supplies, initiates requisitions accurately and timely, and records or submits charges and credits for patient supplies.
- Initiates emergency procedures (stroke, STEMI, sepsis) and mobilizes code teams as required.
- Enters transportation orders and utilizes tele‑tracking for equipment and supply needs.
- Arranges ambulance and external transportation, including Life Flight, handling authorization and required signatures.
- Communicates with lab, radiology, respiratory therapy, ultrasound, and other departments regarding patient orders and scheduling.
- Pages physical therapy and case management for consultations, ensuring evaluations before consults.
- Establishes collaborative relationships with the health care team, assisting with patient care activities and providing feedback to promote effective teamwork.
- Orders office supplies for the department as needed.
- Enters work orders for tracking board, equipment, and facility issues.
- Uses MUSE system to ensure orders and EKGs are processed for CIS upload.
- Oversees signing in/out of Vocera badges and BH pod keys each shift.
- Precepts/mentors new staff members.
