The Bryan Undergraduate Student Services and Retention Office (Bryan USS) coordinates and provides academic advising for ~3,500 undergraduate majors in the Bryan School, interpreting the UNCG catalog, monitoring academic progress, and meeting with students individually. It also advises on study abroad, participates in recruitment events, and coordinates graduation activities.
Position SummaryThe primary purpose of the Administrative Support Specialist is to provide technical support to the Bryan Undergraduate Student Services Office and assist the Program Director in coordinating office communication, semester data cleanup, change of major requests, admission to major, student worker supervision, graduation awards, recruitment events, and other duties as assigned.
Responsibilities Key Responsibility:Coordinate office communications
- Coordinate office communications to Bryan USS constituents via University email, bulk emailing platforms (currently Emma), social media accounts, and edits to the USS website.
- Creating content for monthly Bus Stop Newsletter.
- Creating other content based on office/advisor needs.
- Updating existing email campaigns.
- Creating and posting content on Facebook and Instagram.
- Creating content for building TV monitors.
Coordinate and manage semester data cleanup
- Identify and update students not assigned to the correct Bryan School advisor.
- By the census date, identify CARS majors and update advisor assignments, moving folders, and notifying students.
- Train student workers and administrative staff on office processes and record retention regulations.
- Run periodic semester reports to ensure correct advisor assignments.
- Coordinate annually with Director and Starfish coordinator to assist graduate advising intern.
- Create preprinted advising sheets each semester.
Process change of major requests
- Review and determine student eligibility for requests.
- Process requests with the Registrar’s office.
- Notify students of decisions.
- Create electronic folders and update advisor records using Banner.
Coordinate and process admission to major
- Run Webfocus report by prescribed deadlines (October 15, March 15, July 15).
- Identify students meeting admission qualifications.
- Update student records.
- Notify students by deadline.
- Review provisional admissions, remove ineligible students, and notify accordingly.
Assist with supervision of student workers
- Recruit and select student employees.
- Train and supervise to ensure completion of daily tasks.
- Co‑supervise graduate or federal work‑study students.
Assist with Bryan School graduation and student awards
- Email degree candidates.
- Assist with award engraving and mailing.
- Create graduation ceremony program and printing.
- Process compensation paperwork for paid participants.
Assist the coordinating advisor with recruitment events
