Position Overview
The Hospital Manager works daily to develop an efficient and effective hospital support team by fostering an environment of trust, teamwork, and accountability. The Hospital Manager partners with the Veterinarian to provide a profitable operation by driving revenue, managing costs, and building a culture based on high-quality patient care and excellent customer service.
Key Responsibilities- Supervises staff within all hospital support departments and maintains labor goals.
- Hires, trains, and handles new‑hire paperwork for office and technical clinic support staff.
- Orients new clinic staff and supervises direct reports’ performance, offering feedback and addressing personnel issues.
- Conducts timely performance appraisals and reports accidents or incidents.
- Develops and presents policies and procedures for all technical aspects of the hospital.
- Manages staff schedules, coordinates the DVM, and monitors workforce management for missed punches and overtime.
- Administers daily operations and ensures compliance with all administrative responsibilities.
- Monitors budgets, purchases equipment and supplies, and oversees facility maintenance.
- Submits contract veterinarian invoices, vendor invoices, ensures accuracy, and obtains W‑9s.
- Assists in resolving client issues when appropriate.
- Reviews revenue, labor, and other key metrics with leadership on a weekly basis.
- Handles all local accounting functions and ensures accurate financial reporting.
- Oversees inventory management and billing practices, maintaining accurate records.
- Negotiates contracts with insurance providers when required.
- Maintains current licensure compliance for DVMs and other personnel.
- Performs additional duties as assigned by the Manager.
- Bachelor’s degree in business, health science, or related field (strongly preferred).
- Minimum five years of direct office management experience, including at least two years of supervisory experience.
- Equivalent combination of education, certification, training, or experience may be considered.
- Excellent customer service skills in a courteous, prompt, and efficient manner.
- Proficiency in Microsoft Office (Word, Outlook, Excel) and organization‑specific software.
- Strong time‑management and organizational skills; ability to complete work promptly.
- Excellent oral and written communication skills.
- Flexibility with scheduling and willingness to work some weekends and holidays.
- Comfortable working around sick animals, hazardous materials, cleaning chemicals, gas anesthetics, zoonotic diseases, and unpleasant odors.
- Ability to perform extended periods at a keyboard, workstation, standing, walking, climbing, balancing, stooping, kneeling, crouching, or crawling.
- Capacity to lift or carry moderately heavy animals (up to 50 lbs) and perform other moderately physically demanding tasks.
- Other duties and responsibilities as assigned by management.
- Certified Veterinary Practice Manager (CVPM) or Master of Healthcare Administration (MHA).
- Strong analytical skills for quickly and efficiently evaluating financial information.
- Strategic financial forecasting, marketing, and long‑term growth planning.
- Leadership ability to direct staff toward common goals.
- Decision‑making skills to solve problems and make essential decisions.
- Effective communication, both oral and written, with staff.
- Resourcefulness and adaptability for initiating change and handling new information.
- Knowledge of compliance regulations and hospital requirements.
- Planning and prioritizing skills to organize work and establish timelines.
