We have an exciting opportunity for a Medical Secretary to join our team at St Hugh's hospital, Grimsby.

This is a bank role which means you will not be contracted to fixed hours; instead, you will be able to pick shifts that align with your availability. Our Bank workers enable HMT to manage fluctuating demand, such as covering staff absences, busy periods, or unexpected workload increases whilst offering you the flexibility to pick up shifts as available.

Job Purpose

To provide administrative/secretarial support to all Consultants undertaking insured and NHS primary care trust referrals.

Main Duties of the Job
  • Provide a typing service for Consultants who have contracted the Hospital to provide private and NHS secretarial facilities, maintaining accurate records and ensuring invoices are raised in line with hospital requirements.
  • Ensure all letters are sent out in a timely manner.
  • Record clinic outcomes accurately.
  • Pick up urgent work on medical dictation service and deal with it in an appropriate and timely manner.
  • Where appropriate liaise with medical records, ward clerks, referrals and enquiries and bookings team to ensure patient records, referral letters and discharge summaries are correct and up to date.
  • Deal with patients via MDT when highlighted by Consultant and contact appropriate team at other Hospital Trusts.
  • Deal with inter‑provider transfers in a timely and appropriate manner.
  • Be proactive in ensuring all urgent results are highlighted to relevant Consultant/Department and action taken.
  • Use IT systems and databases to ensure relevant and accurate information is recorded.
  • Investigate patient DNAs and ensure the patient is dealt with appropriately.
  • Communicate cancellations of clinics/theatre/endoscopy to all appropriate teams within the hospital to ensure all cancellations are dealt with in a timely manner.
  • Open Consultant post daily and deal with it appropriately, highlighting anything urgent to relevant Consultant/Team.
  • Type up invoices for Consultants where appropriate (consultations/theatre procedures).
  • Liaise with external agencies (other hospitals, GPs etc.) where appropriate.
  • Demonstrate excellent customer service care when dealing with patients and/or other external agencies.
  • Promptly deal with telephone enquiries from patients, GPs, relatives and other health care professionals, taking and relaying messages politely and with empathy, and taking appropriate action.
  • Deal with complex queries and escalat[e] them to the appropriate Team Leader.
  • Ensure that all information distributed to patients is accurate and up to date.
  • Maintain all necessary skills and ensure training is up to date to enable fulfilment of the role.
  • Complete DATIX when appropriate.
  • Update Compucare 8 regarding patient information (address change, GP change, telephone numbers, etc.).
  • Provide an efficient and professional typing service to Consultants caring for NHS/Clinical Commissioning Group patients.
  • Ensure results that come through are highlighted to Consultants in a timely manner and filed correctly into patient notes.
  • Ensure all signed mail is sent out in a timely manner.
