Administrative Assistant I

Role
Purpose:
Provide personal secretarial services and administrative assistance while exercising initiative and judgment. Work independently under the general direction of the Office Supervisor or General Manager, supporting records management, billing, payroll, personnel records, and advanced support for senior management.
Key Accountabilities:
- Manage accounts payable and receivable process, obtain purchase orders, validate and process invoices, contact vendors regarding discrepancies.
- Review, transmit and manage weekly payroll process; reconcile any issues.
- Assist the General Manager with month‑end close process.
- Type correspondence and reports, edit grammar, punctuation, spelling.
- Use judgment to determine course of action in non‑routine situations.
- Screen telephone calls and visitors; provide phone/visit information with knowledge of company policies and operations.
- Prepare confidential, specialized reports and presentations.
- Maintain filing system and supervisor files.
- Maintain manager’s calendar, schedule meetings, arrange travel and accommodations; compile expense reports.
- Open and review mail for management staff; compose responses and delegate as appropriate.
- Coordinate high‑level meetings and coordination with associates and customers.
- Serve as central communication point for HR and associate relations items.
- Delegate routine tasks to one or two clerical associates.
- Follow up on assignments delegated to subordinate managers.
- Operate office equipment such as fax, copiers, printers, binding machines.
Required
Education and Experience:
- High School Diploma or Equivalent.
- Two years using MS Excel, MS Word, and an email system.
- Three years related experience (preferred).
- Two years experience with accounts receivable and accounts payable (preferred).
