Position: Administrative Assistant (1.0 FTE Full-Time Permanent)

Guelph Family Health Team is looking for an Administrative Assistant (1.0 FTE Full-Time Permanent) Hourly Rate: $28.56 - $29.71 Reports to: Manager, Mental Health and Community Programs & Manager, Chronic Disease.

The Guelph Family Health Team is a not-for-profit, interdisciplinary primary care organization providing comprehensive, team-based care to the community of Guelph and surrounding areas. Our team works collaboratively to improve patient access, health outcomes, and system sustainability through innovative and integrated primary care services.

Position Summary

The Administrative Assistant provides administrative and clerical duties that are essential to efficient patient flow and the support of Guelph Family Health Team programs.

Key Responsibilities
  • Overall management of front desk and all patient phone and check-in duties.
  • Create and maintain patient charts in electronic medical records system.
  • Book, monitor and reschedule appointments.
  • Accurate electronic medical record documentation.
  • Manage referrals, faxes, and inquiries in a timely manner.
  • Manage and order office and clinical supplies.
  • Organize meetings and education sessions.
  • Book interpreters for patient appointments.
  • Manage patient, family, and colleague interactions in a courteous and professional manner.
  • Ability to work at multiple locations
Qualifications
  • Medical Office Administration certificate or diploma
  • Medical office experience considered an asset.
  • Experience with Telus PS Suite electronic medical records considered an asset.
  • Strong knowledge of Microsoft Office products, including Excel, Word, and PowerPoint.
  • Excellent written and verbal communication skills.
  • Demonstrated ability to work collaboratively in an interdisciplinary team.
  • Commitment to excellent customer service when interacting with patients, and families.
