Bookkeeper – Warren Township High School

Position Summary: The Bookkeeper supports the financial operations of the district by maintaining accurate accounting records, performing purchasing, cash receipt functions, and managing activity fund and accounts receivable processes. The role ensures compliance with state reporting requirements, audit standards, and district procedures.

Responsibilities
  • Financial Systems and Skyward Support
    • Setup, implementation, and ongoing management of Skyward School Business Suite.
    • Enter and maintain accurate financial data and account coding.
    • Run system reports, queries, and reconciliations for Business Office needs.
    • Provide first‑level assistance for staff regarding purchasing, requisitions, and payment processes.
    • Collaborate with CSBO, Business Office staff, and Skyward support to troubleshoot issues and improve efficiencies.
  • Accounting and Bookkeeping
    • Process invoices, purchase orders, reimbursements, receipts, and vendor payments.
    • Maintain accurate records and documentation for audit, compliance, and reporting purposes.
    • Review financial documents for accuracy and proper account coding.
    • Assist with monthly reconciliations, year‑end closing procedures, and audit preparation.
    • Maintain District P‑cards and process monthly payments and reconciliations, including gift cards.
    • Oversee online coaching/supervisor advances for competitions.
    • Assist with fundraising forms and review of fundraising reconciliations.
    • Follow up with uncashed checks.
  • Purchasing and Accounts Payable Support
    • Review and route purchase requests, ensuring proper documentation.
    • Verify pricing, quantities, vendor information, and compliance with Board policies.
    • Prepare disbursements in accordance with district schedules and established procedures.
    • Communicate with staff and vendors to resolve questions, discrepancies, or delays.
  • Cross‑Training and Operational Support
    • Learn multiple Business Office functions to serve as backup for other Business Office roles.
    • Support the Business Office team to ensure all required tasks continue during staff absences or workload fluctuations.
    • Participate in training and professional development related to district software, including Skyward.
  • Customer Service and Communication
    • Respond to inquiries from staff, administrators, vendors, and community members in a clear and timely manner.
    • Provide support to district staff regarding purchasing and financial procedures.
    • Maintain confidentiality in all matters in compliance with district, state, and federal regulations.
    • Oversee district copier and postage machine maintenance.
  • Other Functions
    • Assist auditors by providing supporting documentation and explaining internal processes.
    • Inform staff of procedural requirements to ensure efficient transaction processing.
    • Attend department meetings, training, and workshops to gather and share information relevant to job functions.
    • Perform other related duties as assigned to support the effective functioning of the Business Office.
    • Support and serve as backup to other Professional Support Personnel (PSP) positions as needed.
Qualifications
  • Associate’s Degree or higher in accounting, business, or a related field (preferred).
  • Knowledge of fund accounting, the Illinois Program Accounting Manual (IPAM), and general accounting principles.
  • Experience with spreadsheet applications, word processing programs, and financial software systems (Skyward experience preferred).
  • Accuracy and attention to detail in financial recordkeeping.
  • Ability to work collaboratively and maintain confidentiality.
  • Strong written and verbal communication skills.
  • Ability to adapt to changing priorities in a fast‑paced environment.
  • Ability to set work priorities and work independently with minimal supervision.
Pay Rate

Minimum $24.20/hour. Final rate determined based on qualifications in alignment with district guidelines.

Contract – 12 months.
