About the Role:

We are seeking a dynamic and detail-oriented Events Executive to support the planning, coordination, and execution of events. The ideal candidate will be highly organized, creative, and capable of managing multiple projects simultaneously while delivering exceptional experiences.

Key Responsibilities:

Event Planning & Coordination:
Assist in planning and executing events from concept to completion, including corporate events, conferences, product launches, exhibitions, and client engagement activities
Coordinate with vendors, suppliers, and venues to ensure seamless event delivery
Manage event logistics including venue selection, catering, audio-visual requirements, transportation, and accommodations
Prepare detailed event timelines, run sheets, and checklists
Vendor & Stakeholder Management:
Source, negotiate with, and manage relationships with vendors and service providers
Liaise with internal teams and external stakeholders to align on event objectives and deliverables
Conduct site visits and venue inspections
Budget & Administration:
Assist in budget preparation and tracking event expenses
Process invoices, purchase orders, and maintain financial records
Ensure cost-effective solutions without compromising quality
On-site Event Management:
Oversee on-ground event setup, execution, and breakdown
Manage event staff, volunteers, and vendors on-site
Handle last-minute issues and provide quick solutions
Ensure health, safety, and compliance standards are met
Post-Event

Activities:

Gather feedback from attendees and stakeholders
Prepare post-event reports with analysis and recommendations
Maintain event documentation and archives

Requirements:

Education & Experience:

Bachelor's degree in Event Management, Hospitality, Marketing, or related field
1-3 years of experience in event management or coordination
Experience handling events across multiple verticals including corporate events, social celebrations, learning and development programs, alcohol brand activations, and experiential marketing
Skills &

Competencies:

Strong organizational and project management skills
Excellent communication and interpersonal abilities
Ability to multitask and work under pressure with tight deadlines
Creative problem-solving and attention to detail
Proficiency in MS Office (Excel, PowerPoint, Word)
Familiarity with event management software is a plus
Flexibility to work evenings, weekends, and travel as required
