Job Overview:
Under the supervision of the Maintenance Manager, the Inventory Coordinator is responsible for tracking, managing, and replenishing operational supplies and equipment across Galaxy Towers. This position plays a critical role in supporting maintenance, housekeeping, and capital projects by ensuring the availability and organization of inventory items. The Inventory Coordinator maintains accurate records, manages vendor deliveries, and coordinates with internal departments to anticipate supply needs and prevent shortages.

Work Schedule:

Sunday-Thursday, 9:00 AM – 5:00 PM

Responsibilities
  • Inventory Management:
    Maintains accurate inventory records of supplies, tools, materials, and equipment using digital platforms and manual logs.
  • Performs regular inventory audits and reconciliations; monitors stock levels and generates reorder requests as needed.
  • Coordinates receiving, storage, labeling, and secure distribution of supplies across departments. Tags and tracks fixed assets; maintains proper documentation for equipment issuance and return.
  • Vendor & Supply Coordination:
    Receives and inspects deliveries for accuracy and quality; verifies against purchase orders and notifies supervisors of discrepancies.
  • Works with approved vendors to schedule deliveries, resolve issues, and ensure timely fulfillment of inventory needs.
  • Prepares and processes purchase requests for approval in alignment with budget controls and procurement policies.
  • Operational Support:
    Supports maintenance and housekeeping teams by providing inventory access and tracking usage per project or routine work orders.
  • Assists with staging materials for upcoming projects and capital improvement activities. Keeps storage rooms and inventory areas clean, safe, and organized in accordance with building and fire safety standards.
  • Performs related duties as assigned in support of daily operations and long-term planning.
Qualifications
  • High school diploma or equivalent required; additional vocational or technical training in inventory or warehouse management preferred.
  • Minimum of 2 years of experience in inventory control, stockroom operations, or materials management, ideally in a facilities, residential, or construction-related setting.
  • Familiarity with digital inventory software, spreadsheets, and procurement tools; proficiency in Microsoft Excel and Outlook required.
  • Strong communication skills with the ability to maintain accurate records, interpret packing slips, safety sheets, and vendor documentation; capable of writing brief reports and effectively interacting with team members and vendors.
  • Solid mathematical skills including calculating quantities, unit conversions, and basic cost estimates.
  • Proven ability to stay organized, follow instructions, and manage tasks with minimal supervision.
Physical Requirements and Work Environment
  • Frequently required to stand, walk, bend, lift, and carry items up to 50 lbs.; occasional climbing of ladders or stairs.
  • Must have adequate vision and dexterity for reading labels, handling tools, and using a computer.
  • Work is performed in stockrooms, maintenance areas, and occasionally outdoors; may involve exposure to dust, cleaning agents, and varying temperatures.
  • Office environment is generally quiet to moderate in noise level.

Compensation: $21.00-$24.00 / hourly
