Hours: 35 Hours per Week (7 Hours per Day, Monday to Friday)
Position Overview
The Government of Nova Scotia is seeking an experienced Clerk 3 (ADM
04) to support the Public Prosecution Service (PPS) Head Office during the summer period to provide coverage for vacation leaves. Due to operational requirements and limited training capacity, previous experience working within the Public Prosecution Service (PPS) environment is essential.
Under broad supervision, the successful candidate will perform a variety of administrative and operational support functions requiring specialized knowledge, sound judgment, and independent decision-making when addressing situations that fall outside established procedures and guidelines.
RequirementsKey Responsibilities
- Provide administrative support to ensure the efficient operation of the office.
- Supervise and provide direction to administrative staff as required.
- Assist in overseeing daily office operations and workflow coordination.
- Prepare, review, and maintain financial records and statements.
- Verify, process, and maintain documentation and records with accuracy and confidentiality.
- Prepare correspondence, reports, and other business documents.
- Maintain office inventories and coordinate the ordering of supplies.
- Manage and distribute inter-office mail and related communications.
- Respond to inquiries and provide administrative assistance to internal stakeholders.
- Apply established policies, procedures, and guidelines while exercising judgment in handling exceptions.
Required Qualifications
- Grade 11 education plus four (4) years of related administrative experience; or
- An equivalent combination of education, training, and experience.
- Previous experience working within the Public Prosecution Service (PPS) is mandatory.
- Strong organizational and time-management skills.
- Excellent attention to detail and accuracy.
- Ability to work independently with minimal supervision.
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and related office software.
- Ability to handle confidential and sensitive information with discretion.
Preferred Qualifications
- Experience in a government, legal, judicial, or public-sector environment.
- Experience supporting office operations and administrative processes.
- Knowledge of records management and document control practices.
