Status: Regular Full Time
Hiring Range: $71,549 to $80,493 per annum (plus comprehensive benefits)

About the OpportunityReporting directly to the Medical Officer of Health (MOH), this highly visible and fast-paced role provides confidential executive administrative support within the Office of the Medical Officer of Health.
As a trusted partner to the MOH, you will coordinate executive priorities, manage complex schedules, support strategic initiatives, and ensure the efficient flow of information across the organization. You will interact regularly with senior leaders, elected officials, physicians, healthcare partners, government representatives, and community stakeholders.
The ideal candidate brings strong political acuity, exceptional judgment, and the ability to independently triage issues, problem-solve, and respond to competing priorities in a dynamic environment.
What You Will Do- Provide confidential administrative and executive support to the Medical Officer of Health.
- Manage complex calendars, meetings, schedules, correspondence, and competing priorities.
- Coordinate reports, briefing materials, presentations, agendas, minutes, and follow-up actions.
- Manage the flow of information, documentation, requests, and communications to and from the MOH office.
- Respond to inquiries and collaborate with internal and external stakeholders with professionalism and discretion.
- Conduct research and support special projects and public health initiatives.
- Coordinate travel, conferences, meetings, and stakeholder engagements.
- Maintain records, filing systems, and confidential information.
- Provide administrative support across the Office of the Medical Officer of Health as required.
- Demonstrate a commitment to diversity, equity, inclusion, and belonging.
- Post-secondary education in Office Administration, Business Administration, or a related field, or an equivalent combination of education and experience.
- Minimum three (3) years of progressive administrative support experience, preferably supporting senior leaders or executives.
- Experience supporting a healthcare executive within a public health, hospital, healthcare, or broader health system environment is strongly preferred.
- Strong political acuity and ability to manage sensitive, confidential, and high-profile matters.
- Demonstrated ability to independently triage issues, assess urgency, problem-solve, and respond effectively to emerging priorities.
- Exceptional organizational, communication, customer service, and relationship-management skills.
- Proficiency with Microsoft 365 tools including SharePoint, Teams, Lists, Loop, and Copilot.
- Proven ability to manage multiple priorities and deadlines in a fast-paced executive environment.
- Excellent judgment, professionalism, discretion, and attention to detail.
- Ability to work independently and collaboratively while anticipating needs and taking initiative.
- Experience in public health, healthcare, hospital, government, or broader public sector environments.
- Knowledge of PHIPA, FIPPA, and Ontario Public Health Standards.
- Knowledge of information management and records administration.
- Experience leveraging AI tools to enhance productivity and workflow efficiency.

In this role, you’ll benefit from the flexibility of a hybrid work arrangement that prioritizes meaningful in-person connection. A minimum of two days per week on-site is expected, with additional in-person presence as operational needs evolve.
