Lands Administrative Assistant

The George Gordon First Nation (GGFN) Land and Resources Office is responsible for managing one of the most important assets, the land and resources. As a Nation, the connection to the land and resources is inextricably linked to the history, language, survival, and wellbeing. The Land and Resources Office ensures that GGFN lands are protected and managed in accordance with the Nation’s values and goals.

Responsibilities
  • Professionally answer, screen, and direct incoming telephone inquiries.
  • Responsible for confidential and time‑sensitive material.
  • Coordinate, organize, and schedule monthly board meetings, including logistics and preparation.
  • Prepare and format documents such as meeting agendas and presentations.
  • Accurately record, prepare, and distribute meeting minutes in a timely manner.
  • Draft, edit, and distribute correspondence, including emails, memos, letters, forms, and reports.
  • Perform data entry and maintain accuracy across various applications.
  • Develop, implement, and maintain efficient physical and electronic filing systems.
  • Maintain and update policies, procedures, and administrative processes.
  • Assist in the preparation of regularly scheduled reports and spreadsheets.
  • Coordinate travel arrangements, including bookings and itineraries.
  • Process expense claims and cheque requisitions in accordance with established financial procedures.
  • Monitor office supplies inventory levels and order as required.
  • Maintain and update contact lists.
  • Serve as a primary point of contact for staff, board members, and external stakeholders.
  • Be familiar with a variety of the field’s concepts, practices, and procedures.
  • Participate in training for the Indian Land Registry System (ILRS) as required.
  • Perform other related administrative duties as assigned.
Qualifications
  • Certificate or Diploma in Office Administration, or equivalent experience.
  • Demonstrated experience in an administrative or office support role.
  • Strong organizational skills with the ability to prioritize tasks and manage multiple responsibilities effectively.
  • Proven ability in planning, coordination, and implementation of administrative processes.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
  • Knowledge and understanding of First Nations people, the cultures, and communities.

Salary will be based on experience, training, education. The permanent full‑time position location will be George Gordon First Nation and will report to the Lands/Holdings Manager.
