Manages client relations and provides excellent service to all clients and visitorsResponds to all client issues/situations promptly and takes appropriate action to rectify concernsReceives and routes telephone calls, greets and directs clients & visitors in a professional manner; provides information and responds to inquiries from clients, visitors, and staff; refers to appropriate person as necessarySorts and distributes incoming and outgoing mail; distributes forms, reports and other documents to appropriate staff and departmentsPerforms a variety of typing assignments, which are sometimes confidential in nature; operates personal computer to enter data, draft, edit, revise, and print letters, tables, reports and other materialPrepares photocopies and facsimiles, and operates a variety of office equipmentMaintains and distributes office suppliesEstablishes, maintains, processes, and updates files, records, and other documents, including daily census, client master lists, next of kin lists, client admissions / transfers / discharges; maintains client discharge filesMay book client medical appointments and arranges transportationProvide exceptional customer service to all clients and supports other departments including the dining room, sales, maintenance, housekeeping and chaufferKeeps up to date on current events to open discussions with clientsParticipates on/in department meetings and committees as requiredActs as a role model and mentor to orientate new staffAdditional duties as assigned/requiredAbout You
In addition to placing high value on continuous improvement, collaboration and accountability, you bring:
A high-school diploma or GEDOffice Administration/Professional Secretarial diploma or university degreeMinimum two years’ experience in client services/administrativeKnowledge of general office procedures and equipmentExcellent computer skills and experience in Microsoft Office SuiteSuccessful candidates will be required to obtain a clear Criminal Record Check, and where applicable, a Vulnerable Sector Check, prior to appointment.Previous hospitality/customer service experience an asset, especially with seniorsKnowledge of medical terminology considered an assetAbility to work during the day and weekendsA passion for the healthcare sector and/or ensuring seniors have access to quality accommodations, services and careApply today to join the Shannex team of Great People!
