Records Analyst - Information Management Coordinator Regional Municipality
Overview
The Records Analyst 2 leads the operational functions of the records management program, driving digital transformation initiatives and ensuring the integrity, accessibility, and security of departmental records in accordance with provincial legislation and policy.
Primary Responsibilities- Manage the records and information management (RIM) program in compliance with relevant legislation, policy, and standards, including STAR/STOR retention schedules.
- Develop, review, and update STOR records retention schedules to reflect departmental functions and organizational changes.
- Apply STAR and STOR records classification and retention schedules to departmental records.
- Supervise Record Analyst positions.
- Plan, test, and implement the transition to the updated File Net EMR system.
- Configure and implement records management applications for paper and electronic records.
- Develop and apply RIM policies, standards, processes, disaster plans, and best practices.
- Analyze and develop solutions for records management issues, identifying opportunities for process improvement.
- Manage large‑scale historical records searches and retrieval of litigation holds and discovery.
- Represent the department on RIM‑related committees.
- Monitor emerging trends and advancements in RIM.
- Provide advice and training to staff on records and information management.
- Support Freedom of Information and Protection of Privacy (FOIPOP) requests.
- Bachelor’s degree in records management, archives management, information management, library science, or a related field, with at least two years of relevant experience (or equivalent education/experience).
- Comprehensive working knowledge of records management concepts, principles, and practices.
- Experience developing and applying records classification and retention systems.
- Familiarity with Nova Scotia legislation (Government Records Act, Public Archives Act, Freedom of Information and Protection of Privacy Act).
- Proficiency with Microsoft Office Suite and specialized RIM systems.
- Demonstrated experience managing large‑scale historical records searches and overseeing litigation hold and discovery retrieval.
- Experience leading projects and supervising staff.
- Strong relationship and communication skills for engaging internal and external stakeholders.
- Experience writing RIM policies, procedures, guidelines, and best practices.
- Experience providing advice and delivering training to staff at various organizational levels.
- Exceptional attention to detail, analytical, organizational and time‑management skills.
- Ability to work independently and as part of a team.
- Additional relevant education (e.g., master’s degree) or certification in records management is an asset.
- Familiarity with STAR/STOR systems is an asset.
Pay Grade: PR 08 – Salary Range: $2,288.52 – $2,805.63 per bi‑weekly period.

Working Conditions- Standard 35‑hour work week (7 hours/day).
- Ability to review documents and files for extended periods.
- Ability to lift and carry boxes weighing 40‑45 pounds and climb step ladders.
- Work in file rooms that may contain dusty records.
- Occasional travel to regional offices or off‑site storage; a driver’s license is an asset.
